Position Overview:
In this hands-on position, you will be the face, voice, and key contact for events. This role requires an outgoing personality, presence, poise, authenticity, and cultural sensitivity to collaborate and motivate others to sponsor and participate.
Your previous event coordination experience, strong communication skills, and ability to multi-task in a fast-paced environment are crucial. This role involves working evenings and weekends at club and community events, as well as creating and managing newsletters to engage donors and participants.
Community Engagement and Event Specialist
Supervisor: Chief Executive Officer
Primary Functions:
- Recruit sponsors and auction donors.
- Manage auctions and other event aspects.
- Oversee event logistics and resolve details.
- Manage volunteers.
- Ensure seamless event execution while bringing plans into action.
- Create and distribute newsletters to promote events and donor engagement.
- Attend and coordinate weekend and evening events at clubs and community venues.
Primary Duties and Responsibilities:
- Recruit event sponsors and auction donors to achieve fundraising goals.
- Actively participate in event planning and preparations.
- Represent and promote events at community and promotional gatherings.
- Manage online, print, and social media communications.
- Cultivate relationships with diverse communities and participants.
- Recruit, train, and manage volunteers for auctions and other event aspects.
- Coordinate with auction vendors before, during, and after events.
- Work closely with planning teams and attend necessary meetings.
- Communicate with venues and ensure proper event implementation.
- Conduct pre-event rehearsals and liaise with event participants.
- Manage ticket sales, table seating, and resolve issues on the event night.
- Participate in event setup, execution, and breakdown.
- Facilitate transportation of auction items between AIN and event venues.
- Conduct post-event follow-ups and evaluations.
- Undertake additional responsibilities as needed.
Work Locations:
- Onsite at AIN offices
- Offsite in community and club settings
