Overview
We are seeking a flexible, detail-oriented and proactive Operations Assistant to join our team. The ideal candidate will possess an innate curiosity and desire to learn while playing a crucial role in supporting daily logistical operations. This position requires exceptional attention to detail while multi-tasking among various documents, demonstrated time management skills and command of English. Lastly this role requires confident and professional communications with peers, Clients, Cargo Partners, and resident Veterinary staff.
Responsibilities:
Booking Live Cargo Shipments (Pets): This can be with passenger or air cargo airlines through email, telephone and online portals
Prepare Overseas Documentation: Completion of (International) Health Certifications ready for Veterinary authorization, AirWay Bills, kennel labels, various shipping documents and other detailed instructions for the carrier
Provide Regular Updates to Pet Owners: As instructed by Move Managers, update owners using email, phone, text and/or What’s App to keep the owner at ease with the relocation of their pet
Independently Resolve Issues: Not all relocations go to plan, but all must be successful with a healthy pet arriving for a happy pet owner. You will regularly have to resolve the unexpected changes that impede the “perfect move”.
OTHER DUTIES AS ASSIGNED: As a small company, Air Animal depends on the flexibility of its staff to never say “that’s not my job”. This role (like all Air Animal roles) can and will involve tasks outside your scope of expertise, but you are expected to execute to the best of your ability with the resources you can muster. We are all here to make Air Animal succeed, everything can be anyone’s job.
Qualifications
- Proven experience in administrative roles which involve dealing directly with the public
- Minimum 1 yr. working in a small office setting (in-person)
- Ability to communicate effectively with diverse audiences, bi-lingual a plus.
- General computer literacy (able to troubleshoot common application issues) with the ability to learn new applications quickly.
- Strong typing skills with a focus on accuracy.
- Excellent proofreading abilities to ensure high-quality documentation.
- Demonstrated adaptability and flexibility while working in a cohesive team environment.
- Prior cargo logistics experience a plus
