Job Summary:
We are seeking a highly organized and detail-oriented Office Administrator to oversee daily office operations and ensure the smooth functioning of administrative tasks. The ideal candidate will be responsible for managing office supplies, coordinating meetings, handling correspondence, and providing support to various departments to maintain an efficient workplace.
Key Responsibilities:
- Oversee and manage daily office operations to ensure a productive work environment.
- Answer incoming customer calls for the office and transfer to the appropriate parties.
- Serve as the first point of contact for visitors, employees, and external communications.
- Maintain office supplies and equipment, ensuring timely restocking and servicing.
- Organize and schedule meetings, appointments, and company events.
- Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
- Maintain accurate records, filing systems, and confidential company documents.
- Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
- Coordinate with vendors, service providers, and building management as needed.
- Perform other administrative duties as assigned to support team operations.
- Sales activities when there is downtime.
- Tasks assigned by General Manager are subject to change.
Qualifications & Skills:
- Proven experience as an Office Administrator, Administrative Assistant, or similar role.
- Strong organizational and time-management skills with the ability to multitask.
- Excellent communication and interpersonal abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Basic knowledge of office management procedures and bookkeeping principles is a plus.
- Ability to work independently and as part of a team in a fast-paced environment.
- Works well in a fast changing environment.
- Attention to detail and problem-solving skills.
Education & Experience:
- High school diploma or equivalent required
