We are looking for an intuitive Commercial and Residential HVAC Servicing Executive Administrative Assistant to join our team on a full-time basis. The ideal candidate would have experience in the HVAC Servicing industry and a positive attitude. Our company services both residential and commercial facilities in Los Angeles county (primarily), Orange, San Bernardino, Riverside and San Diego counties.

Job Responsibilities:
- Must have 2 years of experience in Heating, Ventilation, Air Conditioning (HVAC) services and/or managing HVAC Technicians in daily service call scheduling and requirements.
- Perform routine administrative duties such as answering phone calls, records keeping, data entry, filing, scanning and faxing documents.
- Manage bookkeeping, client and supplier payments (Accounts Receivable and Accounts Payable).
- Vendor coordination, office supplies, shipping/receiving mail, expense reporting and entry.
- File all client and vendor payments, maintenance of all files, payroll records, timesheets, and related documents.
- Manage team of (3) Service Technicians and administrative assistant in daily preparations and service call calendar scheduling.
- Conduct Human Resources requirements and maintain labor compliance with weekly certified payroll reports and document control.
- Maintain flexibility and openness to learn and take on additional responsibilities as needed.
- Basic familiarity with service tech processes for servicing HVAC split-systems, packaged units, rooftop units, heaters, exhaust fans, wine cellars and refrigeration systems.
Job Requirements:
- Bachelor’s or Associate’s degree is a plus.
- Experience with MS Word, MS Excel, Adobe Acrobat and Quickbooks preferred.
- Ability to work in an office environment (typing/sitting) and use of office equipment (scanning/printing/phones).
- Exceptional follow through skills and ability to multitask, problem solve, plan, and execute work independently.
- Always maintain the highest standards of ethics and confidentiality, protect company and client proprietary information.
- Willingness to learn and positive attitude.
- Must possess valid driver license, reliable means of transportation and a clean driving record.
