Position Description:
As the first point of contact for visitors and callers ATI’s Receptionist will handle these duties with the highest degree of professionalism and customer service. Warmly welcomes and directs visitors by greeting them, in person or on the telephone, answering or referring inquiries. Responsible for providing administrative support to various departments.
Essential Functions and Responsibilities:
- Oversees the reception area to maintain a professional image and ensure safe entry procedures are followed.
- Maintains security by following procedures; monitoring logbook; issuing visitor badges, announcing visitors, unlocking front door in morning and locking door secure at end of day.
- Ensure a neat space; water plants; rest room is checked for needed supplies and notify cleaning company/ plant company if there are any findings.
- Screen/field incoming calls and transfer to appropriate department/person/extension.
- Record and distribute messages as necessary. Check company v-mail box, determine proper disposition of messages.
- Update ATI internal phone list in Sharepoint on a monthly basis.
- Understand Standard Operation Procedures regarding FDA, Interek, Underwriter’s Laboratories inspections.
- Follow the established work procedures for Emergency Action and Fire Prevention Plan.
- Efficient handling of all front desk deliveries.
- Coordinate mail flow in and out of office, sort mail into department boxes and prioritize time sensitive deliveries.
- Use postage machine for out-going mail.
- Support other departments with regularly scheduled and ad-hoc projects to include, but not limited to: Operations -Office supply distribution, Finance Department – scanning incoming invoices and e-mailing to AP, clerical support, compiling in coming checks on spreadsheet keeping Accounting staff appraised of amount of deposit; Sales – basic data entry and sorting paperwork, HR – Assist with onboarding of new hires including creating new hire folders, preparing agendas and assembling welcome bags. Assist with Employee Life events including ordering baby and condolence gifts. Administer Anniversary gift program, assist with company events, i.e., turkey checks, food drive, luncheons, parties. On-boarding travel arrangements as needed including coordination of air, hotel and ground transportation. Training -, coordinate travel, lunches and administrative assistance for in-house industry training sessions.
- Maintain inventory and supplies in JA conference room kitchen.
- Prepare monthly expense report to reconcile corporate credit card.
- Performs other duties, as assigned
Work Experience Requirements:
- Minimum of 1 year of experience in a professional business setting
- Prior experience with busy switchboard
- Mail machine experience, helpful

Education Requirements:
- High school diploma or GED
- Software and/or business courses helpful but not required
