Position Overview :
The Sales Operations Manager is a critical management role, focused on optimizing the efficiency and effectiveness of sales operations within the organization. Reporting directly to the Director of Sales Operations, this highly visible role demands exceptional attention to detail, strong leadership capabilities, and a proactive approach to driving seamless execution of key sales processes. The Sales Operations Manager will oversee a team of support staff, ensuring that all operations run smoothly while continuously identifying opportunities for improvement. This position requires a motivated individual who takes initiative and thrives in a dynamic, detail-oriented environment.
Key Job Responsibilities :
CRM & ERP Oversight :
Review and approve Sales Orders in ERP system, ensuring accuracy and completeness, and providing guidance to the sales operations support team on order processing procedures.
Guarantee the precision of CRM data by ensuring opportunities and forecasts are regularly updated with the most current information.
Data Analysis and Reporting :
Analyze data and generate insightful reports to support strategic decision- making by the sales leadership team.
Provide monthly customer-specific usage reports to sales leadership.
Maintain a set of Key Performance Indicators (KPIs) to measure the effectiveness of sales operations. Regularly report on KPIs, providing insights and recommendations for improvement.
Pricing Management :
Manage price books in CRM and ERP systems and support contract negotiations as needed.
Create process to track historical and current pricing. Communicate pricing changes to internal teams.
Inventory and Order Allocation :
Prepare materials for, lead meetings with cross-functional key team members, and provide critical updates to sales teams.
Customer Communication :
Initiate direct communication with customers via phone and / or email to address and resolve disputes.
Documentation :
Develop and maintain training materials tailored for the sales operation team’s needs, covering essential topics to enhance their skills and proficiency.
Maintain distributor and sales representative training manuals, ensuring they remain current and comprehensive resources for ongoing learning and development.
Perform regular testing in the sandbox environment to verify that updates and changes function correctly. Document and track testing results, providing feedback to the system administrator for resolution or deployment to production / live environments.
Team Leadership and Development :
Lead the sales operations support team through training, coaching, and performance management, driving continuous improvement and aligning with departmental goals.
Ensure team cross-training for consistent coverage and provide backup support as needed while actively recruiting top talent to build a high-performing team.
Oversee disciplinary actions to maintain a productive, respectful work environment, enforcing company policies and fostering accountability.
Additional Responsibilities :
Create, send, track purchase orders to suppliers to facilitate drop ship orders, as necessary.
Qualifications :
Education and Experience :
A bachelor’s degree in Business Administration or a related field is preferred. A combination of education and substantial relevant experience may be considered in lieu of a formal degree.
Proven experience in sales operations, sales support, or a related role, with a strong understanding of sales processes, order management, and CRM / ERP systems.
Extensive Salesforce experience is specifically required.
Extensive ERP Software experience is required.
Demonstrated leadership experience with a track record of effectively managing team performance and driving results.
Experience in data analysis and reporting, to drive sales effectiveness and operational efficiency is required.
Skills :
Proficient Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint, SharePoint).
Skilled in managing projects, fostering cross-departmental collaboration, and implementing process improvements within sales operations or similar functions.
Strong organizational skills with high attention to detail, combined with excellent communication and interpersonal abilities.
Demonstrated ability to work effectively and collaboratively across departments.
Work Environment :
This position is based in an office environment with occasional opportunities for remote work.
May require occasional travel to meet with clients or attend industry events.
Flexibility to attend or lead meetings outside of standard business hours to accommodate global teams across different time zones.
Physical Demands :
Prolonged periods of sitting at a desk and working on a computer
Must be able to occasionally lift and move items weighing up to 25 pounds, such as office supplies or product samples. Assistance is available for heavier lifting, as needed.
