Position Description
The Client Service Associate plays a key role in supporting Advisors and Associate Advisors by validating and following up on technical and functional transactions based on team recommendations. This role focuses on building and maintaining strong client relationships by effectively communicating with clients, addressing their needs, and ensuring a high level of service. The position involves working with both retirement plan participants and wealth management clients to provide exceptional support and facilitate their financial planning goals.
The AIS Client Service Associate:
· Gathers, enters, and maintains client information within various systems, including CRM and financial planning systems.
· Verifies accuracy of connections compared to Vendor Data.
· Verifies that accounts listed in the client financial planning software are active accounts.
· Verifies that asset classes are appropriate.
· Provides training and assists clients with connections.
· Works with Vendors on connection issues.
· Collaborates with team members to prepare for client updates and reviews, ensuring all required paperwork is ready and organized. Proactively follows up with clients to guarantee timely completion and processing of all documentation.
· Assists team members during client meetings by streamlining note-taking, documenting tasks to be completed, and ensuring timely follow-up on all action items.
· Provides support to existing plan participants and the Retirement Plan Team members through the coordination of 401(k) enrollment, education and processes
· Serve as a backup for front desk responsibilities, including answering calls, greeting visitors, and managing general administrative tasks to ensure seamless office operations.
- Participates in the development and documentation of office processes to create better efficiencies.
- Understands and supports the firm’s vision, mission, and strategy.
- Participates in the completion of strategic initiatives and projects.
- Supports team members in business development activities by creating presentations and materials.
- Supports Associate Advisors and Advisors in gathering client data throughout the discovery process and populating planning systems with information.
- Looks for and develops ways to improve service, efficiencies, and/or reduce expenses.

Requirements
- Minimum associate degree required; bachelor’s degree preferred
- Attain Series 65 or 66 license within 6 months of hire
- Experience in financial services preferred
