Job Overview

We are seeking a motivated and detail-oriented individual to join our team as a Front Office/Customer Service representative. This position is crucial in ensuring smooth day-to-day operations, providing excellent customer service, and supporting the team with administrative tasks.

Key Responsibilities

Customer Service:

  • Answer incoming calls, emails, and inquiries promptly and professionally.
  • Schedule and confirm appointments for technicians.
  • Address customer questions, concerns, and requests with a positive and helpful attitude.
  • Follow up with customers after service visits to ensure satisfaction.

Administrative Support:

  • Maintain accurate records in the company’s CRM system, including customer details, work orders, and payments.
  • Prepare and send invoices, receipts, and other documents as needed.
  • Assist in generating reports and tracking key metrics.
  • Coordinate technician schedules and optimize routing for efficiency.
  • Process incoming mail and handle correspondence.

Office Operations:

  • Maintain a clean and organized front office environment.
  • Order and manage office supplies inventory.
  • Assist with special projects and other administrative tasks as assigned.

Qualifications

  • High school diploma or equivalent (Associate's or Bachelor's degree is a plus).
  • Proven experience in customer service, administrative support, or office management.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with CRM software or scheduling tools is a plus.
  • Ability to work independently and as part of a team.
  • Positive attitude and problem-solving mindset.
  • Fluency in Spanish is a preferred.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour
