Job Overview
We are seeking a motivated and detail-oriented individual to join our team as a Front Office/Customer Service representative. This position is crucial in ensuring smooth day-to-day operations, providing excellent customer service, and supporting the team with administrative tasks.
Key Responsibilities
Customer Service:
- Answer incoming calls, emails, and inquiries promptly and professionally.
- Schedule and confirm appointments for technicians.
- Address customer questions, concerns, and requests with a positive and helpful attitude.
- Follow up with customers after service visits to ensure satisfaction.
Administrative Support:
- Maintain accurate records in the company’s CRM system, including customer details, work orders, and payments.
- Prepare and send invoices, receipts, and other documents as needed.
- Assist in generating reports and tracking key metrics.
- Coordinate technician schedules and optimize routing for efficiency.
- Process incoming mail and handle correspondence.
Office Operations:
- Maintain a clean and organized front office environment.
- Order and manage office supplies inventory.
- Assist with special projects and other administrative tasks as assigned.
Qualifications
- High school diploma or equivalent (Associate's or Bachelor's degree is a plus).
- Proven experience in customer service, administrative support, or office management.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with CRM software or scheduling tools is a plus.
- Ability to work independently and as part of a team.
- Positive attitude and problem-solving mindset.
- Fluency in Spanish is a preferred.
