Position: Program Coordinator

Reports To: Director of Workforce Development

Job Summary: Under direction, provide day-to-day administrative support to the Director of Programs and operations in the following areas: 1) Decision-making: working independently on a daily basis, addressing the best way to handle specific tasks; 2) Communications and Collaboration: collaborating with support personnel, management, tenants, and/or clients on a regular basis to achieve operational and programmatic goals of the vice president; 3) Organizational Skills: keeping oneself and vice president organized to determine which tasks are the most important in a given work list; prioritizing workflow; and 4). Writing: being proficient spelling, punctuation, sentence structure and writing and in a variety of styles from creative to professional to technical; ability to proofread and provide feedback
Job Duties:
· Prepare memos, create, maintain/organize files, photocopy, fax, and collate documents.
· Responds to routine inquiries from external or internal sources with standard correspondence or other messaging (answer phone, direct calls and provide basic company information)
· Prepare minutes, reports, charts, budgets, presentation materials, collects, reviews and analyzes data, creates, organizes, and maintains files, records, and correspondence for program areas that include Workforce Development and Education and Learning; and operations areas that include Maintenance, Facilities, and Tenant Services
· Collaborating with clients or employers, finance teams and other team members on budgeting and allocating funds
· Communicating with clients or employers about project, event or campaign expectations and goals
· Overseeing the delivery of projects and making adjustments as necessary to ensure they are delivered to specifications and high standards
· Conduct regular analysis of processes and procedures, adjusting when necessary
· Plan, organize and implement events, such as meetings, business luncheons, etc.
· Manage schedule and act as a liaison for the Vice President
· Ability to handle confidential information; organize and maintain files.
· Prepare information and research for administrative needs.
· Assist with ordering tracking and organizing office and copy machine supplies as needed.
· Assist with planning events, employee team building activities, or special projects, as directed.
· Provide support to projects, special initiatives, community events, etc.
· Perform other duties, as assigned.
Pay Rate: Depends on level of experience
Classification: Regular/Full-time/Non-Exempt

Qualifications: Bachelor’s degree in business administration or related field preferred or minimum 3 years full-time experience in mid- to senior-level administration, business, management, or related field; Highly Proficient and Advanced in computer skills, including Microsoft Office Suite (Word, Outlook, PowerPoint, and Excel) required. Comfortable learning new software programs if required; possession of a valid State of Ohio Driver’s License and reliable transportation, local travel required; Background checks conducted.
