Hourly Position - $18.77/HR Naskila Casino is seeking a dedicated and detail oriented Construction Administrative Assistant to join our Team.
Under the direction of the Owner’s Representative, the Administrative Assistant will provide critical administrative support to the construction management teams, ensuring efficient project coordination, compliance, and communication. This role requires strong organizational skills, attention to detail, and familiarity with construction processes.
ESSENTIAL JOB DUTIES:
- Prepare reports, meeting minutes, and communication for project teams.
- Manage subcontractor RFIs (Requests for Information), submittals, and bid requests.
- Assist with the procurement of permits and applications.
- Organize and maintain project files, contracts, and correspondence.
- Process invoices, purchase orders, and expense reports.
- Track budgets, code invoices, and submit for approval/payment.
- Maintain certified payrolls and ensure compliance with Naskila and Tribal policies and procedures.
- Validate subcontractor insurance certificates and tax documentation.
- Utilize construction management software (e.g., Procore, Textura) to track project progress and documentation.
- File, scan, and distribute project-related documents, including plans, permits, and change orders.
- Serve as liaison between vendors, clients, and project teams.
- Schedule meetings, prepare agendas, and distribute minutes.
- Respond to client inquiries, complaints, and online reviews professionally.
- Order office supplies and manage inventory.
- Assist with onboarding new employees and maintaining employee certification.
- Coordinate travel arrangements and company events.
- Work with Naskila and Tribal departments and Team Members.
- Other duties as assigned.
REQUIREMENTS:
- High school diploma or GED.
- Minimum of three (3) years of administrative experience in construction or similar industry.
SKILLS & ABILITIES:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Familiarity with construction software (e.g., Procore, AutoCAD, Yardi).
- Strong organizational, time management, and multitasking abilities.
- Excellent written and verbal communication and customer service skills.
PREFERRED:
- Experience in construction environment.
- Certified Administrative Professional (CAP).
- OSHA 10/30-Hour Safety Certification.
- Construction Management Association of America (CMAA) credentials.
- Experience with RFIs, submittals, and bid processes.
- Previous work experience in tribal government or tribal enterprise.
- Ability to interpret construction documents and contracts.
Day shift hours Monday - Friday with flexibility to work weekends, holidays and hours based on business needs
