What are the responsibilities and job description for the SPECIALIST PAYROLL position at Albuquerque Public Schools?
To complete all duties and assignments in a timely and accurate manner in order to meet deadlines required to process each biweekly payroll, maintaining accurate and complete records and reports required by federal, state, District, union and administrative regulations.
An individual in this role must be able to perform the following functions with or without reasonable accommodation:
- Process file maintenance received from Human Resources Department and computes any changes in salary and inputs information required.
- Checks and processes traditional schedule absence sheets, cafeteria time sheets and overtime time sheets.
- Checks, analyzes and interprets leave slips and absences reported by all departments for each payroll.
- Monitors custodial absence sheets.
- Prepares and processes manual checks and affidavits for lost paychecks or returned APD’s.
- Answers all court orders for garnishments, child support and tax levies and inputs information into employee’s records.
- Provides a list of invalid personnel hours reported to prevent an employee from becoming overpaid or underpaid.
- Investigates possible errors and problems with pay, absences, deductions, etc.
- Monitors sick leave bank for correct hours awarded and compliance with guidelines.
- Checks all payroll information before payroll distribution.
- Assists and investigates payroll problems for employees either by telephone or in person.
- Work closely with financial institutions (banks, credit unions, etc.) for net pay distribution, correction of errors, setting up and canceling direct deposits and wiring payroll totals.
- Works with the Internal Revenue Service on tax levies issued, courts and attorneys regarding judgments issued against employees earnings.
- Verify all final payment for terminated employees.
- Assists in the training of new employees in the payroll department.
- Works closely with the Education Retirement Board to insure proper monthly reporting of employee’s retirement funds.
- Process quarterly assessment fee.
- Monitors the Workman’s Compensation adjustments to District employee’s wages.
- Assist Payroll Technicians as required.
- Effective communication skills, both verbal and written.

- Interpersonal skills with diverse populations in-person and on the telephone.
- Knowledge of APS community, computer system, financial and legal requirements.
- Ability to meet deadlines, work on multiple projects and coordinate the work of others.
- Knowledge of dealing with the public and in problem solving.
- High School Diploma or equivalent
- Four (4) years experience in payroll and/or accounting with at least two (2) years payroll.
- Proficient with word processing, databases and spreadsheet software.
- Calculator by touch skills.
