What are the responsibilities and job description for the Church Administrator position at Aldersgate United Methodist Church?
Responsibilities:
- Oversee accounts receivable, manage donor records, and transmit bills, bank statements, and credit card receipts to the church’s accountant.
- Serve as the point of contact between the church, external accountant, vendors, and members for financial matters.
- Lead the transition to a more cost-effective membership database
- Update member information and track member connections and discipleship involvement.
- Greet visitors and ensure both members and nonmembers utilizing the building are connected to church life and resources.
- Oversee all aspects of building use including coordinating the calendar, custodial service, renters, night reception and communicating repair needs.
- Manage storage areas, inventory, and office supply needs.
- Prepare worship bulletins in coordination with pastoral and music staff. Manage flower schedule and orders.
- Manage volunteer teams responsible for internal and external church communications (e.g., newsletters, website, social media, and outdoor signage).
- Serve as the primary contact for coordinating IT support, maintenance services (fire extinguisher checks, pest control, etc.), and general building upkeep.
- Prepare and submit denominational reports.
- Maintain and preserve church records, archives, and history.
- Provide general administrative support and assist with any other tasks as needed to ensure the church operates effectively.
ORGANIZATIONAL RELATIONSHIPS:
The Administrator reports to the Pastor as part of the staff team. The Administrator is evaluated on an annual basis by the Church Board.
QUALIFICATIONS:
- Strong organizational and time-management skills.
- Proven experience in administrative roles, preferably in a church or non-profit setting.
- Familiarity with accounting systems and financial record-keeping.
- Excellent communication skills, both written and verbal.
- Ability to work independently, manage multiple tasks, and collaborate with church leadership and volunteers.
- Proficiency with Microsoft Office Suite or similar software; ability to learn multiple types of software.
- A heart for service and a passion for contributing to the life of the church.
- Bachelor degree preferred
