Overview

Vital Incite, an Alera Group company, is looking to add an experienced Integrations Administrative Coordinator to their team.

The Integrations Administrative Coordinator is an exempt position that supports Vital Incite’s mission by working within the Data Integrations team and using education, experience and strong independent motivation and judgement to ensure that all integrations meet the high standards of quality and timeliness needed to best service our clients.  The Integrations Administrative Coordinator will report to the VP of Operations and use his/her strong attention to detail and organization to ensure that the assigned integrations activities progress within the prescribed timeframes and meet the departmental goals for timeliness, completeness, and accuracy. 

 

The office is based in Indiana, but we're open to remote employees willing to work eastern time zone hours. 

Responsibilities

  • Integration Tracking and Administration
    • Work Management Application Set-up.  Prepare Integration ticket in JIRA, Vital Incite’s work management and collaboration solution; include all necessary information that will fuel the management, administration and oversight of the integration of a new group’s Data Sources’ data. 
    • Work Order. Prepare Work Order package for submission, review and approval by Vital Incite’s 3rd party integrator.  Collaborate with Vital Incite’s Technical Integrations Coordinator in doing so.Updated Integrations. Receive from Strategy team the needed information related to the integration of new data sources for existing groups.  Incorporate same into the Integration process.
    • Weekly Integrations Meetings.  Collaborate with Integrations Specialist to prepare weekly Integrations Spreadsheet; participate in weekly meeting reporting on status of the Integrations outreach and paperwork.
  • Integration Outreach
    • Integration Planning. Review of New Client Questionnaire submitted by Client (broker or group) and undertake integration planning meeting with VP of Operations.  Collaborate with Client Experience Manager when information on NCQ is missing or needs clarification.
    • Initial Outreach. Utilizing and tailoring communication templates to fit the particular situation, contact the new group’s Data Sources to commence the file feed request process.  Ensure timely and frequent responses through email and telephone follow-up and outreach; independently communicate with Data Source contacts and exercised appropriate judgement; work with Client Experience Manager to engage the group’s advisors’ assistance when difficulty or delays are emerging. 
    • Data Sharing and other Agreements. Timely identify, capture and route for review and approval any Data Sharing or other Agreements that the Data Source requires in conjunction with its preparation and release of data.  Such documents may include: NDAs, DUAs, DRSFs (see below), Group’s Letter of Authorization or other approval documents, and HIPAA certificates and other documents impacting the degree of data masking.
    • DRSF-File Formats. Timely communicate the receipt of any DRSF/File Formats to Technical Integrations Coordinator for her review and approval; track the timely receipt of approval (Including JIRA ticket updates).
    • SFTP. Timely communicate the receipt of any SFTP information to Technical Integrations Coordinator for her handling with Vital Incite technology department; track completion of this process (Including JIRA ticket updates).Hand-off to Technical Integrations Coordinator.  Assure a smooth transition of integrations activities to the Technical Integrations Coordinator upon completion of each Data Source’s paperwork/legal phase.
  • Integration Agreements, Billing and Fees
    • Client Agreements.  Collaborate with Client Experience Manager in the development and execution of Population Health Agreements, related addenda, and Alera-related Statements of Work.  Work with VP of Operations for legal review of all Agreements, using Administrative JIRA tickets, liked to the main integration ticket, to track.
    • Billing and Integration Fee tracking.  Record the fees and timing of new client’s billing file (VI-QB Tracking Sheet); record new Integration fees and related billing on VI- Integration Fees Tracking Spreadsheet; collaborate with Client Experience Manager regarding the extent to which fees are being reimbursed by client/group; review, audit and approve 3rd party integrator monthly integration invoices.
  • Other Integration and New Group Activities
    • Knowledge management. Tracks Data Source information including listing, agreements and data limitations in internal team wiki page.  Work with Vital Incite’s technology team in this regard. 
    • New Users to VIST.  Oversee and execute on legal documents and access to Vital Incite’s database and reporting tools for groups and their business associates.
    • Update of Client tables.  Add Integrations Start Date and Go Live Date in book of codes
    • JIRA and Confluence. Serve as one of organization’s SMEs related to these critical client management and internal collaboration tools.
  • Other duties as assigned.

Qualifications

  • Education:
    • Bachelor’s degree in Health Care Administration, Finance, Business Administration, Computer Science or equivalent  
  • Experience: 
    • Intermediate to advanced level of expertise in Microsoft Excel (should be proficient at creating and formatting Excel sheets for data analysis, inserting graphs/charts, utilizing pivot tables, exporting data in various formats, etc.)
    • Experience with JIRA or other ticketing systems a plus
    • Experience in project oversight, team coordination  
    • Experience with client relationship management and marketing 
  • Skills: 
    • Strong organizational and time management skills 
    • Strong interpersonal, written and oral communication skills 
    • Demonstrated data analysis and problem-solving skills 
    • Demonstrated ability to organize and report complex information in various formats and varied audiences 
    • Passion for Vital Incite’s mission and ongoing commitment to outstanding customer service

    • This position has access to highly confidential information, which will require exceptional confidentiality to protect the privacy of clients as well as Vital Incite’s intellectual property.

Salary range is $60,000 to $67,000 per year, depending on experience.
