Administrative V —Institutional Events Support – United States Air Force Academy (USAFA) Center for Character and Leadership Development (CCLD)

General Duties:

The mission of the United States Air Force Academy is to educate, train and inspire men and women to become officers of character motivated to lead the U.S. Air Force and Space Force in service to our nation. The mission of the Center for Character and Leadership Development (CCLD) is “To serve the U.S Air Force Academy by advancing the development of Leaders of Character for our nation.” This position will provide institutional planning & execution support to the CCLD through the Integration Division Chief. The Event Technology Project Manager owns and delivers end-to-end registration platform implementations, coordinates with both internal and external stakeholders, builds plans, manages timelines, and tasks to meet event goals. Communicates key achievements, next steps, identifies and communicates issues and risks, document progress, and deliverables.

Specific duties:

  • Plan, manage, and execute projects that support CCLD institutional events, such as the National Character and Leadership Symposium (NCLS), and Profession of Arms Lecture Series Schule Award Ceremony, not to exceed eight events during the period of performance.
  • Lead the NCLS Registration Team of Cadets, provide mentorship and training, apply Project Management methodologies to ensure project deliverables are met within the scope and budget allocated to the projects assigned. 
  • Lead the development and operations of event participant registration platforms based on government procured and provided registration software. 
  • Execute and support event registration activities, including the processing and welcoming of participants and guests prior to the event.
  • Establish and test all participant registration paths (includes, but not limited to, platforms, e-mail, or manual registrations) and obtain approval no later than one month prior to event registration launch.
  • Ensure event registration system provides clear information and guidance for participants.
  • Monitor participant registration, speaker session selections, and venue capacity levels and submit recommendations for adjustments for approval. 
  • Review participant data to ensure participation criteria has been met prior to confirming registration.
  • Provide oversight of the automated event reporting system and customize reports for specific event teams. 
  • Cross-collaborate with internal and external stakeholders in reviewing, updating, and coordinating official invitation list for approval.
  • Upload approved invitation list to the event registration system for automated dissemination via event management automated mailing campaigns.
  • Manage name badges, welcome folders, itineraries, and disseminate to designated representatives. 
  • Submit a registration platform development, administration and sustainment project plan, with milestones, no later than 210 days prior to the event.
  • As the event registration project lead, assist the program director by updating execution checklists to reflect current processes no later than 120 days prior to event.
  • Develop and prepare After Action Reports (AAR) in accordance with USAFA event guidance, (USAFA Plan 10-46) no later than 14 calendar days post-event.
  • Collect event invoices from project teams and participants, review for accuracy, submit for approval by the Government representative, and track progress of payments. 
  • Ensure continuity items consist of, at minimum, a standardized Team Plan, Team Checklist, and AAR. Store continuity items and data on SharePoint site bi-weekly.
  • Assist event execution teams in meeting required milestones.
  • Prepare briefs and present team progress/status at planning meetings.
  • Recommend supporting agencies, cadet staff, and outstanding performers for superior performance, as required.
  • Cross-collaborate with multiple departments, but not limited to Public Affairs (CM), Cadet Wing (CW), Plans and Program (A5/8), 10 Contracting Squadron (10 CONS), Communications (A6) to ensure product deliverables are met, support overall event performance, and identify risks and opportunities.
  • Identify technology requirements, conduct market research to support government officials during their decision-making process regarding product capabilities, functionality, and cost estimates (e.g., cost per registrant). 
  • Assist government officials in proposal of budgets and forecast, compile summaries of total event costs and maintain historical data. 
  • Apply Project Management tools and techniques to implement solutions and API integrations for registration system, event application, and virtual event platform for seamless experience from participant registration, check-in and live event. 
  • Build, manage and support event websites, event platforms, tools and capabilities as needed for virtual, hybrid, and in-person events. 
  • Remain up-to-date with event industry trends and support the government officials with best practice identification and implementation. 
  • Support Government leads to ensure the overall NCLS production flow is seamless, smooth, and effective, noting that 40-60 sessions are supported, with as many as five occurring simultaneously. 
  • Interface with contract production personnel to ensure appropriate development, setup, execution, and teardown. 
  • Support Government speaker interfaces to ensure appropriate media and logistical preparations are in place to support the presentations. 
  • Interface with media providers to help ensure content is appropriately reviewed and delivered on time. 
  • Interface with cadet session leaders to ensure speaking messages are appropriate, practiced, and ready for flawless execution. 
  • Coordinate with all team facilitators to review program execution and identify opportunities for improvement.  
  • Additional duties: as assigned
  • Work on-site – minimal telework authorized

Required Skills:

  • Demonstrated knowledge and experience in event planning to include programming, scheduling, registration, execution, and after-action activities.
  • Skilled communicator.
  • Proficient in Microsoft Office applications (e.g., Word, PowerPoint, Excel, and Outlook)

 Education and Required Experience:

Education:

  • Bachelor’s degree from an accredited institution in relevant field. 8 years of relevant experience may be substituted for education requirement

Years of Experience:

  • Minimum of 5 years of related experience either in industry, academia, or with a U.S. Government agency

 Salary Range:

  • $92,000 -- $98,000 (annually)
