Administrative Assistant for Human Resources/Auxiliary Services
The employee supports the Human Resources Department and other areas as assigned. A variety of clerical duties involving interaction with other employees and departments occurs daily. The employee must understand and abide by confidentiality policies.
Permanent Full-time 12-month position
Requirements
- Associate degree or equivalent and strong related experience in human resources and/or office administration preferred
- Strong computer skills with knowledge of a variety of computer programs
- Strong communication and organization skills
- Ability to troubleshoot problems
Duties and Responsibilities
- Answer phone calls, distribute mail, copy and maintain files of general records, employee files, documents, correspondence, forms and reports
- Setup and maintain an organized filing system and storage
- Operate a variety of office equipment
- Identifies sources of information needed and compiles a variety of data/reports
- Locate, identifies and disseminates appropriate and accurate information
- Onboard future employees
- Perform other related work as required.
Essential Job Functions
- Communicate in a positive manner, both effectively and efficiently in a variety of technical or professional languages
- Answer incoming phone calls
- Record and deliver information and follow oral and written instructions
- Create purchase orders and maintain department billing records
- Possess and learn knowledge of Human Resource fundamentals
- Process information and forms such as FMLA, Leave of Absence Requests, Shared Leave Requests, Donated Leave, Volunteer applications, etc.
- Update the substitute management system and substitute training modules
- NCID Administrator for the district
- Various weekly uploads to NCDPI as needed
- Process DOT physicals and CDL reimbursements
- Organize and oversee drug screenings
- Update internal calendar with various events
- Maintain the Human Resources website
- Utilize HR sites and software, including word processing, spreadsheet and file maintenance programs
- Update HR manuals and forms
- Remain current on NC Public Schools Benefits and Employment Policy and laws
- Contact schools for emergency situations: ie tornado watches and warnings
- Communicate via phone, text and computer
- Maintain confidentiality at all times

- Ability to remain calm under trying and/or emergency circumstances
- Ability to follow oral and written directions
- Ability to be flexible and adaptable in a variety of situations
- Ability to read and prepare a variety of correspondence, reports, forms, statements, etc. using prescribed formats and correct use of grammar, spelling and punctuation
- Ability to apply principles of logical or scientific thinking to define problems, collect data, establish facts and draw conclusions
- Knowledge of office practices and procedures
- Ability to type accurately at a moderate rate of speed
- Ability to work independently with little guidance
- Ability to prioritize, perform multiple tasks and work with frequent interruptions
Physical Requirements
- Be able to move safely in an office environment
- Be able to lift and/or move up to 20 pounds
- Be able to talk and hear ideas by means of spoken word
