Primary Purpose:
Under moderate supervision, respond to inquiries from staff, students, parents, and the public; provide requested information and/or referral to the appropriate parties; direct visitors; and provide general clerical support for the efficient operation of the Human Resources Department.
Qualifications:
Education/Certification:
- High school diploma or GED
- Must have an Associate’s Degree or have a minimum of 48 semester hours of higher education coursework or pass a district test
Special Knowledge/Skills:
- Professional demeanor and appearance
- Ability to operated multi-line phone system
- Effective public relations, organization, communication, and interpersonal skills
- Ability to speak, read, and understand English
- Ability to read and comprehend instructions
- Ability to effectively present information in one-on-one situations
- Proficient in keyboarding, 10-key numerical data entry, and file maintenance
- Bilingual (English/Spanish) skills preferred
Experience:
- Three (3) years of clerical experience in an office setting preferred
Major Responsibilities and Duties:
Reception and Phones
- Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
- Assist applicants with Applicant Tracking (applications) questions and scanning of supporting documents.
- Responsible for maintaining lobby area stocked with informational literature for visitors.
- Must be a notary public to provide notary services preferred
- Responsible for distributing documents left at receptionist area for applicants/employees to pick up.
- Greet visitors (e.g. public, parents, students, substitutes, vendors, employees, applicants, etc.) respond to their inquiries and/or direct them to appropriate personnel in accordance with district policies and procedures regarding building security.
- Respond to emergency calls and notify appropriate parties to address immediate safety and/or security issues.
Clerical Support
- Ensure all verifications of employment are directed to verification of employment vendor.
- Receive all observation applications and submit to the Employment Specialist for processing.
- Assist the Record Specialist in completing I-9 Forms for work authorization and work permit renewals.
- Responsible for preparing all documents regarding Loan Forgiveness Programs for administrative signature.
- Responsible for tracking all Letters of Intents issued at recruiting fairs.
- Responsible for uploading all resumes received from visitors who recruiters meet at job fairs.
- Responsible for ensuring recruiting supplies are stocked. If not, must notify administrators when low.
- Track all previous job fair supplies request;prepare job fair suit case with materials
- Receive documents and disseminate materials and information to the appropriate parties.
- Provide clerical assistance as needed.
- Compile, maintain, and file all reports, records, and other documents as required.
Other
- Maintain confidentiality.
- Responsible for packing all recruiting supplies to all recruiting trips.
- Follow district safety protocols and emergency procedures.
- Maintain an appropriate level of technology competence to meet the current and future needs of Alief.
- Implement alternative methods of instruction as needed.
- Performs other duties as assigned.

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of Non-Instructional Paraprofessional Personnel.
