What are the responsibilities and job description for the Assistant Office Manager - Integrated Medical Practice position at Aligned Medical Center?
The Assistant Office Manager has overall responsibility for managing the practice. Including operational efficiencies (staffing, scheduling, etc.) daily tasks, some insurance processing and assisting the front office.
This role would also conduct and arrange communications activities like health fairs and corporate lunch-and-learn gatherings. This is a multi-disciplinary practice that can see over 100 patients per day; we are fast paced but not rushed. JOB DUTIES AND RESPONSIBILITIES:
- Provide strong leadership to build a positive, supportive and motivated team culture
- Ensure excellence in patient, employee and physician satisfaction
- Oversee practice operations
- Disseminate and enforce policies and procedures
- Develop staffing schedules that align with practice needs and patient demand
- Possess/learn expert level knowledge of the software(s) used to manage the practice
- Collaborate with the care providers on functions including hiring new employees, progressive discipline, performance reviews and follow-through.
- Train and coach staff
- Order supplies (medical, office, etc.) and manage supply inventory
- Approve invoices for payment
- Coordinate timecards and payroll services
- Assist in keeping credentialing and accreditations current and posted appropriately
- Manage insurance billing (outsourced) to ensure maximized reimbursement is achieved
- Aid in promoting the practice's care providers and brand
- Maintain physical appearance and organization of the office.
- Coordinate regular staff meetings
- Run weekly productivity reports and evaluate for maximum efficiencies
- Review and manage office email
- Other duties as assigned
REQUIREMENTS:
- Three ( ) years of medical office experience/knowledge; or combination of education and experience
- Two ( ) years of practice management experience
- proficiency in MS Office suite
- Practice management software experience
- Team player who thrives in a busy, fast paced, and ever-growing environment
- Strong interpersonal communications skills
- Ability to lead, train and motivate a team
- Excellent organizational and problem solving skills
- Detail oriented, accurate, punctual and reliable
