Alimak Group USA is seeking an experienced Payroll & HR Administrator for our headquarters in Webster, Texas. This position serves as the initial point of contact for employees and managers for all payroll and human resources matters. This position’s responsibilities include but are not limited to Payroll, Recruitment, Onboarding, and Benefits. The ideal candidate will have a deep knowledge of payroll and human resources body of knowledge.
Certified payroll experience is required. ADP experience is preferred.

Duties & Responsibilities
- Process multi-state bi-weekly payroll
- Create and maintain variety of payroll reports and spreadsheets
- Maintain certified payroll job details and update data in ADP
- Create and submit all certified payroll job reports to required entities
- Process all HR/Payroll changes
- Work with project managers, sales, and third-party consultant, to provide appropriate certified payroll documents to ensure prevailing wage rates and benefits are applied appropriately
- Ensure timely and accurate payroll general ledger reporting to meet the requirements of chart of accounts
- Responsible for documenting, monitoring, and resolving agency tax notices
- Research and remain current with tax compliance laws and regulations, provide payroll tax changes awareness, and provide recommendations for changes
- Review and confirm timely accurate tax deposits and filings, Quarterly and Annual reconciliations, and all other tax reporting requirements
- Manage quarter end and year end reporting and processing
- Maintain Payroll SOP and ensure payroll processes are up to date
- Administer benefits, conduct benefit orientations, and reconcile bills
- Manage and assist Managers through the entire recruitment process, ensure recruitment approvals are received, create position description and posting, enter requisition, post job, review resumes/applications, create offer letters, conduct pre-employment screening, conduct new hire orientation
- Handle Onboarding, Off-boarding, VOE, Unemployment claims, Worker’s Comp claims, Background Screening, Drug testing, I-9s, COBRA, Job Descriptions, and all other HR tasks
- Create and maintain various spreadsheets and reports
- Respond to employee questions regarding benefits, payroll, policies, and other HR related inquiries in a timely matter
- Assist Managers with disciplinary actions, performance management, and other HR topics
- Maintain compliance with all Federal, State, and Local laws and regulations
- Assist Director of People & Culture as needed
- Other duties as assigned by management
Requirements & Qualifications
- Bachelor’s degree in human resources or business is preferred
- Minimum of 3 years of Payroll experience is required
- Minimum of 2 years of Human Resources experience is required
- Must have Certified Payroll experience
- Must have multi-state payroll processing experience
- Experience with Union fringe benefits
- Experience in the construction industry preferred
- Strong understanding of human resources, payroll, and tax compliance
- Strong organizational skills and the ability to work under pressure and meet deadlines
- Excellent communication and customer service skills
- Possess strong ethical standards regarding the handling of confidential information
- Proficient reading, writing, grammar, and mathematics skills
- Computer proficiency MS Word, Excel, PowerPoint, and Outlook
- ADP WFN experience highly preferred
