Project Administrator
Salary: Hourly Range ($26-$36)

Overview:
ALK Asphalt LLC, a rapidly expanding commercial asphalt contractor, is seeking a proactive and organized Project Administrator to join our growing team in Sun City, Arizona. This role is critical in supporting our project managers, ensuring smooth operations, and maintaining effective communication between teams.
Essential Duties & Responsibilities:
Project Coordination:
- Assist project managers in planning, scheduling, and monitoring project progress.
- Prepare and distribute project documentation, including schedules, reports, and meeting minutes.
- Track project timelines, milestones, and deliverables to ensure deadlines are met.
- Coordinate communication between clients, subcontractors, and internal teams.
- Organize and maintain project records, including electronic and physical files.
Administrative Support:
- Process purchase orders, track expenses, and assist with budget monitoring.
- Schedule meetings, site visits, and training sessions for project-related activities.
- Maintain accurate logs of equipment, materials, and supplies used on projects.
- Assist with the preparation of bid packages and proposals.
- Support the accounts payable/receivable team with project-related invoices and pay applications.
Compliance & Documentation:
- Ensure all project documentation complies with company policies and regulatory requirements.
- Prepare and track preliminary notices, lien waivers, and subcontractor agreements.
- Monitor and maintain compliance with OSHA and other safety regulations in coordination with the Safety Department.
- Collaborate with HR to track and report continuing education requirements for team members.
Team Support:
- Build and maintain strong relationships with clients, subcontractors, and trade partners.
- Support the Safety Department with on-site visits and safety documentation.
- Identify opportunities to improve processes and streamline administrative workflows.
- Be flexible and adaptable, managing multiple tasks and deadlines simultaneously.
Requirements:
- 2 years of experience as a Project Administrator, Project Coordinator, or a similar role, preferably in the construction industry.
- Proficiency in Microsoft Office Suite (Excel, Word, and Outlook) and familiarity with Sage or other project management software.
- Strong organizational, communication, and problem-solving skills.
- Knowledge of construction processes and terminology is a plus.
- Ability to manage competing priorities and maintain attention to detail.
Physical Requirements:
- Sitting for extended periods.
- Occasional walking upstairs.
- May have to lift to 30 pounds.
- 10% travel to job sites if necessary.
- Flexibility to stay beyond required hours to meet deadlines (overtime compensated accordingly).
