Summary:
We are seeking a highly organized and detail-oriented Production Administrative Coordinator to join our team. This role is essential for supporting the daily operations of our Fabrication department. The ideal candidate will be responsible for the administration of employee time clocks, tracking time off, coordinating the freelance labor pool, setting up project agreements, and managing fabrication paperwork. A solid administrative background and proficiency in computer skills, especially with MS Office, is required. Knowledge of basic accounting principles and experience with an ERP system is a plus. This is a non-exempt hourly position that includes eligibility for PTO, health insurance, and 401k program after probationary period.
Essential Duties & Responsibilities:
- Administer and monitor employee time clocks, ensuring accurate timekeeping for all Production & Fabrication staff.
- Track and manage time-off requests and ensure proper documentation and approvals are in place.
- Coordinate freelance labor pool availability, ensuring the right talent is available for projects as needed.
- Set up project agreements, including contracts, terms, and scheduling, with external contractors and freelancers.
- Oversee and manage Production paperwork, ensuring all necessary forms and documentation are accurate and up-to-date.
- Assist in managing schedules for Production teams and ensure resources are allocated effectively.
- Collaborate with various departments to streamline administrative processes and maintain smooth operations.
- Provide support to the accounting team with basic financial data, including invoicing and expense tracking for Production projects.
- Assist in the integration and use of ERP systems for better workflow management.
Qualifications:
- Previous experience in an administrative role, ideally within a fabrication or manufacturing environment.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, etc.).
- Solid organizational skills with attention to detail and the ability to multitask.
- Excellent communication and interpersonal skills.
- Basic knowledge of accounting principles and financial data management.
- Experience with ERP systems is highly preferred.
- Ability to work well both independently and within a team.
- Operate within standard operating and safety procedures.
- Liaise with other departments in finishing projects in a timely manner and quality fashion.
- Achieve the creation of high-quality Versa gear that represents the company well in the global staging market.
- Utilize Technical Design documents in the construction of staging and equipment.
- Complete all assigned crew training modules.
