Job Summary

The Intake Coordinator is responsible for managing the initial steps of member or patient intake, ensuring a smooth and efficient onboarding process. This role involves gathering necessary documentation, verifying eligibility, scheduling appointments, and acting as a liaison between members and the organization. The ideal candidate possesses strong organizational skills, attention to detail, and excellent communication abilities.

Key Responsibilities

  • Serve as the first point of contact for members, patients, or referrals, providing information about services and intake procedures.
  • Collect and review necessary documentation, including medical records, insurance verification, and consent forms.
  • Accurately enter and maintain member information in databases and electronic health records (EHR) systems.
  • Coordinate and schedule initial appointments, assessments, or consultations.
  • Verify insurance coverage and assist members with financial paperwork when necessary.
  • Communicate with internal teams, such as case managers, healthcare providers, nurses, or administrative staff, to ensure a seamless transition of services.
  • Monitor and follow up on pending applications, referrals, and necessary documentation.
  • Ensure compliance with all organizational policies, confidentiality regulations, and industry standards.
  • Provide exceptional customer service and support to members, addressing concerns and resolving inquiries promptly.
  • Maintain accurate records and generate reports as needed.

Qualifications & Skills

  • High school diploma or equivalent
  • Previous experience in an administrative, healthcare, or customer service role, particularly in an intake or admissions setting.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite and experience with EHR systems is a plus.
  • Knowledge of medical terminology, insurance processes, or case management is beneficial.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Compassionate and professional demeanor when interacting with members and stakeholders.
