Summary
Provides administrative support to the Treasurer Collector; manages day-to-day clerical duties in an efficient and timely matter; attends meetings, prepares, and transcribes meeting minutes; processes accounts receivables, accounts payables, and payroll for Department; performs technical and administrative duties as requested from supervisor.
Essential Functions
1. Perform office administrative duties dealing with incoming and outgoing correspondence, mailings, phone calls, forms, requests, bills, permits, and fees; ensures all correspondence is sent or received through follow-up procedures; applies corrective office policies to ensure maximum efficiency.
2. Prepare Department or Division for meetings including preparing minutes, tracking attendance, and distributing applicable agenda items necessary to the meeting.
3. Process, manage, and review financial items for Department including accounts payable, accounts receivable, budgets, contracts, and monthly reconciliations.
4. Receive and review reports pertaining to specific Department matters; analyze and provide documentation of the filing of reports; follow-up with appropriate employees regarding information contained in reports.
5. Files correspondence and notifies appropriate personnel on issues; monitors response efforts and generally serves the public.
6. Handle documentation of changes in Department employment including databases with employee hiring, termination, and attendance.
7. Provides backup to maintain departments financial accounts and records in general.
8. Provides backup to prepare City payroll; maintains records and other payroll liabilities.
9. Processes department accounts.
10. Verifies the accuracy of all financial and payroll records.
11. Maintains filing system.
12. Perform related work and duties as required and requested by the supervisor.
Job Type: Part-time
Pay: $26,776.00 - $41,713.00 per year
