About the Role:

The Receptionist plays a crucial role in creating a welcoming environment for clients and visitors while ensuring the smooth operation of the front office. This position is responsible for managing multi-line phone systems, greeting clients, and performing various administrative tasks that support the overall efficiency of the organization. The Receptionist serves as the first point of contact, making a positive impression and providing essential information to clients and staff alike. By effectively handling inquiries and directing calls, the Receptionist contributes to the seamless flow of communication within the company. Ultimately, this role is vital in maintaining a professional atmosphere and supporting the administrative functions of the office.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Basic Computer skills
  • Proven experience as a receptionist or in a similar administrative role.
  • Proficiency in using multi-line phone systems and general office equipment.

Preferred Qualifications:

  • Experience in a customer service role.
  • Familiarity with office management software

Responsibilities:

  • Answer and manage incoming calls on a multi-line phone system, directing calls to the appropriate personnel.
  • Greet clients and visitors in a friendly and professional manner, ensuring a positive first impression.
  • Perform general administrative duties, including filing, data entry, and managing office supplies, sorting mail, making copies.
  • Operate office equipment such as copy machines and printers, ensuring they are maintained and stocked.
  • Help with billing
  • Assist with scheduling appointments and managing calendars for staff as needed.

Skills:

The required skills for this position, such as proficiency in multi-line phone systems and phone etiquette, are essential for managing incoming calls and ensuring effective communication. Daily tasks will involve greeting clients and performing receptionist duties, which require strong interpersonal skills and a friendly demeanor. General administrative skills will be utilized to maintain organized office operations, including filing and data entry. Familiarity with office equipment, such as copy machines, will be necessary for completing various tasks efficiently.
