The Assistant Facilities Coordinator will support Account Managers in overseeing maintenance work orders from initiation to completion. This role involves tracking the daily progress of in-house technicians and subcontractors. A foundational knowledge of trades such as plumbing, electrical, and remodeling is essential. Strong communication skills and professionalism are crucial for addressing pricing or work quality concerns while fostering positive relationships with clients and contractors.
Role and Responsibilities
Support the Facility Management Coordinator with assigned tasks, including:
- Coordinate with in-house technicians and subcontractors to manage job check-ins and check-outs while providing real-time updates to clients.
- Procure materials required for work orders.
- Generate purchase orders for subcontractors and ensure compliance with company policies.
- Oversee subcontractors onsite, collecting notes, photos, quotes, and invoices.
- Upload job-related details, including photos and notes, into multiple systems.
- Enter proposals and invoices into client platforms accurately.
- Track labor and material costs, process receipts, and manage invoices for each job.
- Provide administrative support to other departments as needed.
- Assist with email correspondence and internal communications.
- Maintain an organized and efficient office environment on a daily basis.
Skills and Qualifications:
- High school diploma or equivalent
- Previous experience in an administrative or office role is a plus.
- A minimum of 1-2 years of experience in construction or facility maintenance.
- Customer service-oriented
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
