Office of Administration (OA)

 

The Office of Administration oversees funding sources, accounts payable, financial reports, human resources, travel, IT, budget analysis, and grants management. Various roles are available for students to gain practical experience in these areas.

 

Applied Learning and Development

 

Overview  

Join the Applied Learning and Development team at Allegheny County DHS to enhance a diverse workforce's skills through innovative learning experiences and support various training initiatives.

 

Responsibilities: 

  •  Research best practices in equitable and inclusive learning design, adult learning, and learning technology. 
  •  Collaborate with team members to develop curriculum based on stakeholder needs assessments. 
  •  Assist in creating engaging learning materials such as videos, gamification, and eLearning courses. 
  •  Support marketing efforts to increase awareness and attendance for training events. 
  •  Facilitate various training initiatives and workshops. 
  •  Help track and report on metrics and goals with the senior L&D team. 

Skills: 

  •  Effective communication and collaboration abilities. 
  •  Understanding of adult learning principles and inclusive design. 
  •  Creative skills for content development (video, infographics, gamification). 
  •  Interest in learning technologies and analytics. 
  •  Ability to manage multiple tasks and support different initiatives. 
  •  Passion for education and workforce development. 

 

Facilities Intern

 

Overview: Assist with safety initiatives and manage physical and technological assets within the Department of Human Services (DHS).

 

Responsibilities:

  - Operate in the facilities area and assist with building evacuations and safety training.

  - Maintain first aid kits and develop safety tips for the DHS Digest.

  - Track physical and technological assets, process mapping, and documentation.

  - Manage mail sorting and delivery.

 

Skills:

  - Strong organizational skills.

  - Attention to detail.

  - Interest in human services and safety protocols.

 

Finance Intern

 

Overview: Support the fiscal team in financial analysis and management of government funding streams.

 

Responsibilities:

  - Assist Budget Analysts with invoices, drawdown requests, and financial reports.

  - Process funding confirmation letters and other requests from program offices.

 

Skills:

  - Prior knowledge of accounting principles.

  - Proficiency in Excel and financial reporting.

  - Analytical skills.

 

Human Resources Intern

 

Overview: Support HR projects and manage employee personnel files within DHS.

 

Responsibilities:

  - Organize and manage approximately 800 employee personnel files.

  - Create job aids and upload documents into HR Information System (HRIS).

 

Skills:

  - Strong organizational and planning skills.

  - Understanding of local and federal government HR processes.

  - Effective communication skills.

 

 

Information Technology Intern

 

Overview: Contribute to the IT efforts supporting infrastructure and analytics for DHS.

 

Responsibilities:

  - Support Tableau Server and automate data pipelines using Rundeck.

  - Create reports and dashboards, facilitating knowledge transfer to the Data Architecture team.

 

Skills:

  - Strong technical skills in Tableau and data analytics.

  - Understanding of APIs and ETL processes.

  - Problem-solving skills and motivation to learn.

 

 

Office of the Director of Administration Intern

 

Overview: Assist with project management and communications within the OA office.

 

Responsibilities:

  - Manage reviews of Provider Applications of Interest (AOI) and send acknowledgment letters.

  - Create internal and external communication plans based on OA goals.

 

Skills:

  - Strong written and verbal communication skills.

  - Good organizational and teamwork abilities.

  - Proficiency in Microsoft applications.

 

 

Policy Intern

 

Overview: Support the Policy Manager with research, writing, and policy development.

 

Responsibilities:

  - Conduct research and assist in writing, editing, and formatting various DHS policies.

  - Facilitate meetings and collaborate with subject matter experts.

 

Skills:

  - Strong research and writing skills.

  - Clear communication and good listening skills.

  - Passion for policy research and development.
