Summary
The Crew Support Admin is crucial to support our 3000 pilots and flight attendants and assists the leaders in the department in carrying out the Company’s mission. Our team of Crew Support Admins work together to accomplish different tasks while supporting one another to support the department. The role is not just about managing tasks but also ensuring operational continuity. The team's commitment to keeping all systems updated and complying with federal programs (e.g., KCM, CASS, FFDO, MCL, etc.) is vital for our operations. Yet one of the most important responsibilities of the individual in this role is to promptly answer crewmembers’ questions, specifically regarding bidding, pay, leave of absence, and general administrative questions outside their immediate leader’s expertise.

Minimum Requirements
Combination of Education and Experience will be considered. Must be authorized to work in the US as defined by the Immigration Act of 1986. Must pass a Criminal Background Check.

Education: High School Diploma/GED

Years of Experience:

Minimum five (5) years of Administrative experience working in a unionized environment.

Preferred Requirements

  • Labor relations experience
  • Airline operations experience
  • Program Management Experience (e.g., uniform programs)




Job Duties

  • Assists with base event planning and coordination (i.e., leadership base visit)
  • Responds to pilot and flight attendant bidding, pay questions, and official protests as part of their respective collective bargaining agreements. Works with the union scheduling and payroll committees to discuss and address escalated protests
  • Helps coordinate pilot and flight attendant recruiting events, including screening process, travel, and interview schedule
  • Manages uniform program for pilots and flight attendants, including new hires and ongoing annual requests. Works with uniform vendors or union uniform committees as needed to address issues. Reviews and tracks invoices to verify accurate charges. Partners with the union uniform committees on new projects or program to ensure seamless transition for crews
  • Assists with administrative tasks to support Crew LOA, such as processing intermittent FMLA and voluntary leaves in systems of record. Communicates with crew members and leadership as necessary to address patterns or potential misuse
  • Provides support to the training team as needed (e.g., coordination of new hire class)
  • Continually develops educational resources for crews and regular maintenance of these tools
  • Supports Base Leaders and Chief Pilots with EAFs and crew member data tracking. Updates systems to ensure regulatory compliance (e.g., KCM, CASS, FFDO, & MCL) and effective communication (e.g., email distribution groups)
  • Offers support and communication to all crew members
  • Completes administrative duties including but not limited to; making copies, filing, faxing, taking phone calls, keeping records, creating and mailing letters, and formatting memo’s, as needed
  • Manages the parking programs of all bases, except those managed by local leadership as required. Assists with setting up new hires and maintaining parking access. Assists with any issues and escalate to local leadership and Airport Affairs to mitigate concerns related to parking or shuttle transportation on airport grounds
  • Interacts with Allegiant Air employees and management team, crew members, vendors, and airport employees
  • Models Allegiant’s customer service standards in personal actions and when providing direction
  • Other duties as required

Office - While performing the duties of this job, the Team Member is regularly required to stand, sit, talk, hear, see, reach, stoop, kneel, and use hands and fingers to operate a computer, key board, printer, and phone. May be required to lift, push, pull, or carry up to 20 lbs. May be required to work various shifts/days in a 24-hour situation. Regular attendance is a requirement of the role. Exposure to moderate noise (i.e. business office with computers, phones, printers, and foot traffic), temperature and light fluctuations. Ability to work in a confined area as well as the ability to sit at a computer terminal for an extended period of time. Some travel may be a requirement of the role.

Allegiant as a national air carrier is deemed an essential service provider during declared national and state emergencies. Team Members will be required to report to their assigned trip or work location during national and state emergencies unless prohibited by local, state or federal order.
