The Permitting Specialist is responsible for overseeing and coordinating the platting/zoning processes for multiple projects. The Permitting Specialist is expected to prepare project submittals, and coordinate review with the assigned municipality. This position will require creating and executing checklists, timelines and assigning tasks as needed for project completion.


A Permitting Specialist will work alongside planning teams in review of the plat for submittal to municipalities for approval and recordation. The position will require interaction with surveyors, attorneys, developers and various departments within many municipalities. They will also be assisting with petitions to vacate, utility companies letters, easements and conveyances of property.

This role reports to the Lead Coordinator for Land Department/Client Specialist.


Roles and Responsibilities:


·        Coordination with Clients for timing of plat to meet their demands for lot/home sales

·        Coordination with Surveyors for preparation and review of plat

·        Coordinate with municipalities and agency staff for review and approval of plat

·        Research zoning laws, planning regulations, and other legal requirements related to land use for platting regulations.

·        Research of preliminary subdivision and construction plans to verify all requirements presented for approval have been met

·        Review documents related to property to verify cause and effect

·        Prepare schedules, letters, transmittal forms, memos, etc.

·        Use of personal vehicle to make visits to Client’s office, surveyors, title companies and municipalities, as needed (millage and tolls paid for by Allen and Company)

·        Attend meetings for approvals, as needed (sometimes after regular business hours)

·        Must be able to coordinate multiple projects throughout the platting process. Including creating, managing, and ensuring project timelines are met.

·        Interact with clients regarding project status and updates.

·        This position will require the ability to work with a team

·        Schedule and assign platting requirements to the specialized team members to ensure execution for submittal & recordation.

·        Conduct/attend any meetings regarding the plat, including but not limited to the pre-development meeting, planning commission, etc....

·        Preparing daily and weekly updates in project management software

·        Identify opportunities for improvement in both the quality of our responses and the efficiency of the response process.

·        When required, represents the projects with the governmental agencies and must be able to present plats approval applications to the various planning staff, Planning Commissions, and City Councils for approval.

·        Develop position working relationship with jurisdictional entities all while maintaining land use and development rights.


Daily Routine:


·        Work collaboratively with internal and external project teams.

·        Pre-brief and de-brief job progress with staff.

·        Responsible for the record keeping and documentation of assigned projects.

·        Communicate schedule delays and issues proactively with clients.

·        Maintain appropriate file-saving techniques to ensure the ability to reuse files as required.

·        Attend Project Management and department meetings as necessary.

·        Other duties as assigned by the Director of Land Production and/or Lead Coordinator


Qualifications:


·        Demonstrable problem-solving project management experience and skills.

·        Proficiency in Microsoft Office Tools.

·        Knowledge of surveying is a plus

·        Experience with AutoCAD and Civil 3D is a plus.

·        Effective written and oral communication skills.

·        Knowledge of land surveying principles, regulations, techniques, and procedures a plus.

·        Knowledge of boundaries, topographic, platting, construction stakeout, etc. a plus.

·        Able to learn and use a variety of computer programs.

·        This position will require some supervisory responsibilities and the ability to work with a team.

·        Flexibility to meet deadlines and work extra hours as needed.

·        Ability to manage multiple projects simultaneously.

·        Strong organizational, time management, and verbal and written communications skills.

·        Strong work ethic and team-player attitude.

·        Self-starter and ability to listen and execute directions

·        Ability to build strong relationships


Schedule:


Availability and regular schedule for this role are Monday-Friday, 8:00 am-4:30 pm. This position is in office at our downtown Winter Garden location.
