Position Description: Intake and Assessment Supervisor
Reports To: Program Administrator: Intake and Assessment
DUTIES, KNOWLEDGE, SKILLS AND ABILITIES
I. JOB DUTIES
A. Facilitate and manage the daily screening activities of the intake process to include, but not limited to the following;
1. Reviews intakes with screeners,
2. Primary responsibility for screening decisions,
3. Processes intakes,
4. Oversees all other screening activities including individual conferences with screeners,
5. Replies to reporters questions regarding screening decisions and is familiar with screening guidelines.
II. Facilitate and manages the daily activities of the assessment and investigation process to include, but not limited to the following;
1. Oversees assessment activities and provides case direction,
2. Monitors case record for quality assurance,
3. Hold regular case conferences with workers and assistant prosecutors to review cases and make case decisions.
4. Conducts field supervision of each caseworker.
B. Responsible for On-Call Duties;
1. In collaboration with fellow supervisor, rotates responsibility for the training of on-call staff,
2. Decision making regarding reports received by on-call staff,
3. Meets with eligible workers to schedule on-call responsibilities
C. Process various documents;
1. Intake reports,
2. Open and closed cases by reviewing for accuracy, content, and rule compliance,
3. Signs letters and reports,
4. Maintains records of completed work,
5. Develops quality assurance measures,
6. Provides statistical data, monthly narratives and other reports related to unit function as needed,
7. Provides oversight for intake logs, assignment of cases, and referrals to other service providers and/or agencies,
8. Approves CAPM tools, waivers, and other necessary documents in the SACWIS system and reviews these documents for timeliness and accuracy.
D. Oversees the accomplishments of tasks by unit members;
1. Oversees emergency staffing's; acts as facilitator for the staffing when worker is presenting case,
2. Answers inquiries and complaints from clients, social agencies, and public
E. Responsible for implementing personnel policies and procedures;
1. Recommend requests for leave; to include comp-time, flex-time, overtime and all other leaves,
2. Review time sheets and overtime requests,
3. Coordinate work schedules,
4. Assures that all assigned staff receive timely and quality personnel evaluations, identifies negligence and oversees corrective action,
5. Provides feedback regarding policies,
6. Implements policies on a consistent, uniform basis,
7. Assesses training needs,
8. Assists in the development of programs, policies and procedures to increase unit’s efficiency and productivity,
9. Assures employees adherence to agency and state policies and procedures, regulations and rules,
10. Resolves conflicts within the unit and with other department areas,
11. Trains and interprets new and updated policies and procedures.
F. Hold unit meetings;
1. Prepares for and leads unit meetings in collaboration with fellow intake and assessment supervisor to train and provide constructive direction for the unit as a whole,
2. Communicate agency vision and mission,
3. Promote efficiency, communication, ethical standards, social work standards,
4. Promote and provide direction regarding practice issues as related to family centered, neighborhood based practice,
5. Practices and models strength-based language with staff in meetings
G. Participates in agency planning and programming;
1. Attends supervisory meetings,
2. Attends staff meetings,
3. Attends supervisory conferences,
4. Attends management meetings,
5. Participates in various agency committees to assure intra agency and interagency collaboration on screening and assessment services
H. Provides support for workers;
1. Facilitates coverage for caseworkers in their absence,
2. Provides or arranges on-call and backup coverage,
3. Arranges, or provides opportunities for unit staff to act as back-up support for unit members when staff are in training or other agency-required activities,
4. Assists with screening and supervision of investigators when fellow intake and assessment supervisor is unavailable
I. Represents the agency to the community and strengthens community relationships;
1. Speaks to community groups as requested to provide training on agency services, child abuse and neglect,
2. Has responsibility for development and maintenance of collaboration and cooperation with community resources as it relates to the needs of the unit and family services,
3. Participates in community committees focused on development of new or improved programs and processes,
4. Attends meetings at state level as requested,
5. Attends conferences and workshops
III. JOB REQUIREMENTS
A. A minimum of a Bachelor’s Degree in Social Work or closely related social services degree
B. A Master’s Degree in Social Work preferred
C. A minimum of two years experience as a child welfare caseworker, preferably in the intake unit
D. Previous child welfare caseworker supervisory experience preferred
E. Demonstrated ability to organize, implement and take correct course of action
F. A valid Ohio driver’s license
G. Auto insurance required by law and agency needs
H. Access to private auto on a daily basis
