Job Overview
Provide secretarial services to the Director of Safe and Secure Schools and other staff members in an administrative office setting.
Responsibilities
- Assist visitors and respond to routine inquiries from staff and from the community; refer appropriate inquiries or problems to the Director of Safe and Secure Schools
- Interface with outside vendors involving canine detection, radios, weather alert notifications, truancy notifications
- Assist with the annual budget preparation/submission/approval process, as well as provide monthly budget overviews to the Director of Safe and Secure Schools (Safety & Security and Truancy)
- Assist with travel arrangements and conference registrations as needed; prepare employee travel reimbursements on a monthly basis for the Director of Safe and Secure Schools and staff
- Process ongoing payment deposits, purchase orders and direct pay requests for Safety and Security, as well as Truancy
- Develop and distribute department timeline of events
- Assume responsibility for and maintenance of confidentiality
- Assist with the organization and preparation of staff development workshops pertaining to Safe and Secure Schools
- Utilize multiple software applications to maintain accurate records and ongoing communication
- Assist with the ongoing Allen ISD Document Library maintenance for districtwide reference/resources Assist with the preparation and implementation of contracts for outside entities, consultants, and specified workshops/projects
- Monitor multiple calendar of events, participant registration and credits/certification data
- Maintain FEMA/ICS training and certification data for district employees
- Schedule appointments and maintain multiple calendars for the Director of Safe and Secure Schools as well as the Safety and Security Specialist(s) – internal and external events
- Utilize School Dude and Eduphoria to reserve meeting rooms and ensure appropriate certification / credits
- Develop, organize, attend, provide pertinent materials, and maintain meeting minutes for the Allen ISD District Safety Committee meetings, AISD Cooperative Safety Committee meetings, the Truancy Enforcement Committee meetings, and any other meetings as requested by the Director of Safe and Secure Schools
- Assist with research, preparation, and distribution of materials pertinent to the areas of school safety, emergency response, and truancy in the form of powerpoint presentations, procedure manuals, emergency response brochures and reference materials, flyers, contact lists, etc.
- Maintain access control data for the L: drive / Safe and Secure folders, L: drive / Truancy Shared folders, for Hall Pass, for TELVENT, and for School Messenger users
- Receive, document and distribute Article 15.27’s (student arrests) appropriately
- Process Extra Duty Pay for School Resource Officers (SROs) and staff members working athletic events
- Coordinate onsite canine detection campus visits and necessary vendor training updates
- Receive and process truancy referrals from campuses
- Create and distribute truancy hearing dockets
- Generate truancy notification letters / communication with campuses
- Notification letters mailouts to parent(s)/guardian(s) and tracking
- Revise notifications scheduled in School Messenger as directed by campuses
- Prepare truancy file folders for hearings
- Type hearing notes, file and distribute to campuses
- Maintain electronic and physical notes and reports/files
- Assist with Truancy Enforcement Committee meetings and processes
- Provide satellite assistance to the Judge and court clerk as needed
- Perform other duties and functions as assigned
Job Type: Full-time
Pay: $19.29 - $23.05 per hour
