Job Summary:
The Payroll Specialist manages the day-to-day payroll process, ensuring that employees are paid correctly and on-time, and that payroll regulations and tax laws are followed. Must have extensive knowledge of the FLSA & IRS regulations. Works in collaboration with medical, clinical, and corporate staff who provide quality support to adult patients through consistent communication.

Essential Duties/Responsibilities:
- Establishes positive relationships and rapport with patients and staff.
- Respects the rights of individuals, including the ethical aspects of boundaries, care, treatment, and services, allowing the patient to be a major part of their treatment and recovery.
- Respects patient and staff privacy, confidentiality, and HIPAA as core values of our company.
- Processes payroll. Communicates with employees and managers regarding timekeeping.
- Fully utilizes UKG HRIS system regarding employee records and payroll processing.
- Assists managers in hiring and terminating employees regarding payroll, benefits deductions and COBRA.
- Company expert regarding FLSA compliance and changing IRS regulations.
- Regularly audits employee records regarding payroll profile setup, garnishments, state and local taxes, and bonuses.
- Understands end-of-year requirements regarding W2’s and 1099 employees.
- Assists with work comp, unemployment claims and VOE’s.
- Assists with compensation verifications around performance reviews.
- Confidently interprets PTO and other time-keeping policies.
- Comfortable assisting leadership in salary surveys and trending analytics.
- Identifies, recommends and implements payroll process and related improvements.
- Effectively communicates via written, verbal, and electronic methods, with department and other staff.
- Staying organized is essential in this position that requires you to fulfill a range of timely responsibilities on multiple complex projects.
- Implements safety and emergency procedures during fire, severe weather, or workplace violence drills or actual events.
- Provides recommendations for individual and department goals and objectives.
- Participates in regular staff meetings.
- Regular attendance is essential to the success of the position.

Required Skills/Abilities/Competencies:
- Sensitive to cultural diversity – being aware of and respecting cultural differences.

- Ability to have standard competencies visually verified within 90 days of hire. Includes, but not limited to, ethics, empathy, problem solving, social, communication and attention to detail. Other competencies in customer service and independent & professional discretion/decision making are critical to this role.

- Understanding of general accounting principles and 401(k) plans

- Ability to read, understand and complete annual online compliance training.

- Excellent interpersonal and customer service skills within the team, as well as patients.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function confidently in a high-paced and at times stressful environment.
Education and Experience:
- Two-year degree, or professional HR or payroll certification, required.
- Two years’ HR and payroll experience, required.
- Valid, unexpired driver’s license, at all times.
- Occasional travel to meetings, picking up supplies, driving to the airport, etc. using company vehicles whenever possible.
- Proficient with Google Business Suite, Microsoft Office Suite, specifically Excel, and/or related software.
- Proficient with QuickBooks software.
Physical and Environmental Requirements:
- Prolonged periods of sitting at a desk using a computer.
- Occasional standing and moving.
- Proper lifting, carrying, pushing, pulling techniques up to 25 pounds.
- Execute proper hand hygiene.
- Experiences periods of high stress.
- Occasional unplanned weekend or holiday hours will be needed.
- Teamwork and individual motivation are critical to the success of this position.
