Now Hiring: Full-Time Office Support Specialist/Administrative Assistant
We are seeking a dedicated and organized individual to join our team as a Full-Time Office Support Specialist/Administrative Assistant. This role is essential in keeping our clinic running smoothly by handling scheduling, patient communication, and administrative tasks. The ideal candidate should be detail-oriented, highly organized, and comfortable with technology. This office position requires a strong focus on phone calls and computer work, requiring excellent customer service skills, particularly over the phone.
Key Responsibilities:
Scheduling & Patient Communication
- Conduct appointment confirmation calls for providers.
- Schedule and reschedule patient appointments to ensure provider schedules remain full.
- Monitor scheduling requests, cancellations, and waitlists.
- Assist patients with basic scheduling inquiries over the phone.
- Document all appointment details and communications in the electronic health system.
Administrative & Data Entry
- Perform data entry for patient records with accuracy and efficiency.
- Scan and upload documents into electronic medical records.
- Verify and update insurance details, including uploading insurance cards and patient IDs.
- Assist with billing tasks such as verifying patient information for claims.
Office Support & Organization
- Maintain accurate and organized electronic records.
- Run daily reports to track scheduling efficiency.
- Communicate effectively with the front desk and medical staff to optimize workflow.
- Assist with additional clerical tasks as needed to support the office.
Position Requirements:
✔ Full-time position (Monday–Thursday, with one half-day Friday per month)
✔ No nights, weekends, or holidays
✔ Strong phone and customer service skills – must be professional and courteous
✔ Tech-savvy – comfortable using computers, scheduling software, and electronic medical records
✔ Detail-oriented and highly organized with the ability to multitask
✔ Ability to work independently in an office setting
✔ Prior experience with medical scheduling or office administration is not required, we will train the right candidate
