OVERVIEW
Founded in 1947 by Nina Vance, the Alley Theatre is a pioneer of regional theatre, and one of the leading nonprofit theatre companies in the United States. The Alley has been awarded the prestigious Regional Theatre Tony Award and the Texas Medal of Arts Award. The Alley has transferred productions to Broadway, Off-Broadway, major European Festivals, and to 40 American cities. Unique among regional theatres, the Alley is committed to maintaining a Resident Acting Company and providing them work year-round. JOB STATEMENT
The Finance Associate will work as a member of the Finance department in the daily financial operations of Alley Theatre.
JOB DUTIES
The Finance Associate is responsible for:

Accounts Payable

Gathering
- Working with each department, particularly those responsible for expense processing to ensure timely processing of each payable
- Working with vendors to resolve issues of lost invoices or overdue statements
- Coordinating communications with vendors to resolve issues of overpayment and/or underpayment

Organizing
- Maintaining a system that will enable all members of the finance team to easily find invoices, whether paid or unpaid
- Maintaining a system that will enhance the reconciliation process

Recording
- Entering all accounts payable information into the AP platform (Ramp)
- Validating that all invoices sync appropriately between AP platform and accounting software

Monitoring
- Reviewing accounts payable each week to determine the appropriate bills to pay
- Checking vendor statements to ensure that all invoices have been recorded and paid and that no payments have been duplicated

Paying
- Processing payments in Ramp.
- Paying credit card statements, rent, insurance, and other recurring expenses on time

Reconciling
- Matching the AP detail each month with outstanding invoices
- Matching credit card statements with credit card account (1007) to "zero out" each month

Reporting
- Providing a weekly cash needs report
- Providing a monthly AP aging report

Credit Card Management
- Review credit card coding within AP platform
- Sync credit card transactions between AP platform and accounting software
- Work with the Controller to resolve outstanding credit card coding issues

Accounts Receivable

Manage deposits
- Process checks that come in the mail
- Run reports from tickets sales/contribution software and concessions POS, reconciling deposit amounts to bank transactions, running integration into accounting software and posting to the general ledger
- Resolve any credit card charge discrepancies
- Help resolve disputed charges
- Work with Development to resolve coding issues for contributed revenue

REQUIREMENTS (SKILLS and KNOWLEDGE):
- Ability to work in a fast-paced, energized and quickly changing environment
- A proactive approach to problem-solving with strong decision-making skills
- Detail oriented, able to prioritize efficiently and multi-task
- Ability to be self-directed and take initiative
- Ability to maintain confidential information
- Excellent verbal and written communications skills
- Exhibits a positive attitude with good communication and interpersonal skills
- Understanding of historical and institutional racism in the American theatre, or a commitment to learning, and to be a part of Alley Theatres efforts to be an anti-racist organization
- Bachelors degree in accounting or bachelors degree in business with a professional accounting certification required
- Intermediate knowledge of Excel required
- Basic knowledge of Sage Intacct accounting software preferred
- At least one year of experience in Accounts Payable preferred
PHYSICAL REQUIREMENTS/WORKING CONDITIONS:
- Prolonged periods of sitting at a desk and working on a computer
- Ability to lift and move 25 lbs
- Must be comfortable working in a fast-paced environment where directions and priorities can change rapidly
- Typical hours are during the day, but the position requires the flexibility to be available for weekend, holidays and evening work hours as needed
