JOB SUMMARY
This position provides advanced administrative support by performing loan related functions, conducting research, file maintenance, document tracking, handling information requests, document preparation, and a variety of other administrative duties while maintaining adherence to all Bank policies and procedures. Responsibilities are complex and diverse in nature, requiring broad and comprehensive experience, skill and knowledge of the Bank’s policies and practices. Position provides technical and practical problem solving and specialized support services to bank customers and staff while operating as a member of a team. Responsible for identifying independent administrative projects; performing considerable coordination and follow-through; and setting priorities and procedures for accomplishing work assignments. This position assists in attaining established Bank and branch goals through active participation in loan maintenance and is expected to provide support to less experienced officers and staff members.

Requirements
ESSENTIAL FUNCTIONS
- Perform a full range of loan related duties to provide administrative support, including, but not limited to the following:
- order credit reports, flood determinations, UCC searches, title searches, appraisals, etc.;
- ongoing communications with the Loan Documentation Department, providing them with information necessary for loan document preparation and uploading to the Bank’s core system;
- review completed documents for accuracy and completeness, including adherence to the loan approval terms;
- process documents for new and refinanced loans after closing, including proper proof entries, and obtain pay-off information as necessary;
- prepare and submit various documents for recording;
- ensure the Bank’s secured collateral interest is perfected on various collateral items;
- scan and index loans and supporting documents into the document archival program and manage destruction of scanned paper documents according to established procedures;
- ongoing maintenance of document tracking system as it pertains to loan documentation status, including clearing exceptions;
- assist with loan payment and advance requests;
- assist with the paid loan process, releasing various collateral items as needed.
- Perform a variety of administrative and operational duties including, but not limited to: preparation of correspondence, research, processing faxes and other occasional projects.
- Assist in reconciling the accounts payable as it pertains to loan closing costs.
- Provide support and assistance to loan officers and staff by answering questions and resolving problems courteously and promptly, obtaining and conveying information as needed.
- Establish and develop successful relationships with customers by answering questions and problems courteously and promptly, obtaining and conveying information as needed, providing ongoing support via phone and in oral and written communications, and maintaining the Bank’s professional reputation.
- Other duties as assigned.
MINIMUM QUALIFICATIONS
- Associates Degree from an accredited college or university; or equivalent combination of education and work experience in a related field.
- Working knowledge of loan documentation terminology and methodology.
PREFERRED QUALIFICATIONS
- 2 years of banking, administrative experience or equivalent.
- Basic knowledge of lending, business account services and banking procedures.
- Familiarity with loans and required supporting documentation.

- The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The individual is in a non-confined office-type setting in which he or she is free to move about at will.
