We are seeking a dedicated and detail-oriented ERSE (Eligibility, Recruitment, Selection, Enrollment) Intake Specialist to join our team. The successful candidate will play a crucial role in managing and overseeing the intake process for Head Start applicants. This role ensures that the program meets its enrollment goals and complies with federal, state, and local regulations. The ERSEA Intake Specialist plays a crucial role in engaging families, verifying eligibility, and maintaining accurate records.
Key Responsibilities:
- Eligibility Determination:
- Assess the eligibility of applicants based on federal and program-specific criteria.
- Collect and verify required documentation, such as income verification, birth certificates, and residency proof.
- Conduct in-person and/or virtual interviews with families to gather necessary information.
- Recruitment:
- Develop and implement recruitment strategies to attract eligible families to the Head Start program.
- Collaborate with community organizations, schools, and agencies to promote the program.
- Attend community events, fairs, and meetings to recruit families.
- Selection:
- Utilize the program's selection criteria to prioritize applicants based on needs and available slots.
- Maintain waitlists and ensure fair and transparent selection processes.
- Communicate with families regarding their application status and next steps.
- Enrollment:
- Coordinate the enrollment process for accepted families.
- Ensure all required enrollment forms and documents are completed accurately and promptly.
- Conduct orientation sessions for newly enrolled families.
- Record Keeping and Data Management:
- Maintain accurate and up-to-date records of all applicants and enrollment numbers.
- Enter data into the program’s management information system and generate reports as needed.
- Ensure compliance with confidentiality policies and regulations.
- Family Engagement and Support:
- Build positive relationships with families to support their engagement in the program.
- Provide information and referrals to families for additional services and resources.
- Assist families in navigating the application and enrollment process.
- Compliance and Reporting:
- Ensure compliance with Head Start Performance Standards, federal and state regulations, and program policies.
- Prepare and submit required reports to supervisors and regulatory agencies.
- Participate in audits and reviews as required.
- Professional Development:
- Attend training sessions, workshops, and conferences to stay current on ERSEA regulations and best practices.
- Participate in regular team meetings and professional development activities.
Eligible for $500.00 Hiring Bonus following successful completion of 90 days of employment with documented performance evaluation.
Qualifications
Qualifications:
- High school diploma or equivalent required. Associate’s or Bachelor’s degree in social work, education, human services, or a related field preferred.
- Experience in social services, education, or a related field, preferably within a Head Start or early childhood program
- Experience in recruitment, enrollment, or a related field.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Proficiency in using databases and MS Office Suite.
- Ability to work independently and as part of a team.
- Bilingual skills (English/Spanish or other languages) are a plus.
- Understanding of Head Start Performance Standards and ERSEA requirements is a plus.
- Familiarity with the local community and resources available to families.
