Position Overview
The Financial Administrative Assistant is essential to the smooth operation of our programs, providing both administrative and financial support—from organizing records and tracking approvals to processing invoices and managing documentation. This office-based role is ideal for someone who thrives in a structured setting and is motivated to make a meaningful contribution behind the scenes.
What does the workday include?
- Administrative Support: Provide essential support to our mentoring, tutoring, and parenting programs by scheduling meetings, preparing documents, and maintaining organized files.
- Service Note and Data Management: Track service notes and assessments, ensure completeness and accuracy, and extract key data points for program compliance and approvals.
- Managed Care Process Management: Oversee initial and continued managed care approvals, manage documentation, and serve as the main contact for inquiries.
- Financial Coordination: Process invoices for program services, track payments, and invoice localities for clothing inventories, working closely with our Corporate Accounts Receivable team for accuracy and compliance.
- Reporting: Generate regular reports on financial and administrative tasks, including invoice status, managed care processing, and service note tracking for review by program leadership and our corporate office.
- Other duties as assigned
EDUCATION AND / OR EXPERIENCE
- Education: Associate’s or Bachelor’s degree in Business Administration, Accounting, or a related field preferred.

- Experience: 2-3 years in an administrative or accounting role, ideally within a nonprofit or social services setting.
Skills:
- Strong organizational skills with meticulous attention to detail.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Proficiency in Microsoft Office (especially Excel); experience with billing systems and/or Magellan managed care processing is a plus.
- Excellent communication and collaboration skills.
- CPR/First Aid Certification.
- Must have current driver’s license, a safe, working vehicle, and appropriate levels of insurance coverage.
