Position Description:

The Executive Assistant to the Owner will play a critical role in supporting the leadership of Alliance Medical, ensuring the smooth management of day-to-day operations and strategic initiatives. This individual will act as a key liaison, providing comprehensive administrative support and facilitating communication across all levels of the organization. The ideal candidate thrives in a dynamic environment, has exceptional organizational skills, and possesses the ability to anticipate the needs of the owner in a high-stakes, fast-moving business.

Primary Responsibilities:

  • Provide high-level administrative support to the Owner, including calendar management, meeting coordination, and travel arrangements.
  • Serve as the first point of contact between the Owner and internal/external stakeholders, maintaining professionalism and discretion.
  • Assist with the preparation and organization of documents, presentations, and reports for internal meetings and client engagements.
  • Manage confidential and sensitive information with the utmost discretion.
  • Act as a liaison for cross-functional teams, ensuring effective communication and follow-up on tasks and initiatives.
  • Coordinate special projects as directed by the Owner, ensuring timely execution and alignment with business goals.
  • Assist in organizing company events, client meetings, and team-building activities.
  • Perform research and gather critical information to assist in decision-making and strategic planning.
  • Anticipate the needs of the Owner and proactively address challenges before they arise.
  • Support in tracking key business metrics and assist with operational management as needed.
  • Track and order office supplies, including food and beverages, stationery, and equipment.
  • Contact the building maintenance team to schedule office cleanings and arrange repairs.

Qualifications and Education Requirements:

  • Bachelor’s degree in Business Administration, Communications, or a related field preferred.
  • 3 years of experience providing executive-level support, preferably in a fast-paced and competitive industry.
  • Exceptional organizational skills with a proven ability to prioritize tasks and manage multiple projects.
  • Excellent verbal and written communication skills with keen attention to detail.
  • Strong problem-solving abilities and the capability to work autonomously.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software tools.
  • Ability to work in a highly confidential and fast-paced environment while maintaining a professional demeanor.
  • Familiarity with the healthcare or medical device industry is a plus.
  • Flexibility and adaptability to changing priorities and demands.

Compensation and Benefits:

Expected Salary Range: $65,000 – $90,000

The pay range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the target position and level. Our pay ranges are determined by role, level, and location. Our job titles may span more than one career level. Within the range, individual pay is determined by additional factors, including job-related skills, experience, relevant education or training, business need, and market demands. This range represents base salary only and does not include incentive for sales roles or benefits, if applicable.

Physical Demands:
