Position Summary

The Grants Administrator is accountable to the Director of Mission Advancement and is primarily responsible for applying for private and public grants, managing grant-funded projects, coordinating grant renewal activities, submitting reports and facilitating stewardship activities.

Essential Functions

  • Coordinate with the Grants Team to ensure proper organization and completeness of grant records including grant applications/agreements, budgets, spending reports, and audit information.
  • Manage detailed annual calendar of grant opportunities, submissions, and reports; ensure all deadlines are met in a timely manner.
  • Work closely and cross-functionally with other departments to identify program needs and collect grant report data, ensure grant compliance.
  • Determine funding priorities for programs, and coordinate with Director of Mission Advancement, Consultants and Leadership to research opportunities to meet those needs.
  • Coordinate with finance and program teams to help create budgets and financial reporting.
  • Manage portfolio of private, corporate and government grantors and prospects; maintain donor records in database, track proposals, touchpoints, and follow-up actions.
  • Responsible for writing, proofing, editing, and submitting well-written letters of inquiry and proposals to private, corporate and government funders; adhering to LOI and grant application guidelines and industry best practices.
  • Ensure grant templates are compelling, current, and updated regularly.

Required Skills/Abilities

  • Highly analytical, detail minded, technically savvy; possesses a broad understanding of strategic goals and keen ability to interpret data.
  • Must be able to work both independently and as part of the PBMR team.
  • Understanding of grant funding policies and procedures and applicable local, state, and federal regulations.
  • Excellent verbal and written communication skills.
  • Thorough understanding of effective grant writing techniques.
  • Superior organizational and database management skills.
  • Excellent project management skills and ability to prioritize work and resources.
  • Ability to work with multiple data management systems, including third-party grant management systems.
  • Ability to meet deadlines.
  • Ability to interpret financial data and prepare budgets and financial grant reports.
  • Ability to be discreet with confidential information that may be needed for some grants, including but not limited to salaries, financials, demographic data, etc.

Desired Outcomes

  • Maintenance of all grants-related systems including calendar, comprehensive grants information sheets, and physical/digital file records (organized, secure but accessible to necessary personnel, complete, and correct)
  • Implementation of standard protocols for grants tracking including codes/naming conventions, record keeping structure, and reporting options (internal and external presentations, audits, and obligatory per grantor)
  • Enhancement of internal & external, grants related communications with readily available reports.
  • Identification of new revenue streams for general operating and programming funding.

Education And Experience

  • Bachelor’s degree required.
  • Documented success in proposal writing and grants management.
  • 3-5 Years experience preferred.
  • Demonstrated skills in budget preparation, communication – verbal and written.
  • Knowledge of nonprofit organizational and program development.
  • Experience working with vulnerable populations (youth, families, etc.) preferred.

Qualifications:

  • Ability to live out of a restorative justice philosophy and use the circle process when needed.
  • Skilled in building healthy relationships, maintaining boundaries and valuing confidentiality.
  • Experience in working with a diverse population and diverse personalities.
  • A willingness to be a good steward of resources (financial, etc.)
  • Ability to effectively communicate through written, verbal, and electronic methods (including various social media applications, text, email, and phone calls)
  • Ability to be a self-starter, problem-solver, and dreamer of possibilities.
  • Conduct oneself in a professional, warm, and approachable manner.
  • Organized and able to meet deadlines and multitask.
  • Competent using Microsoft Office 365 Suite (MS Word, Excel, Adobe).
  • Able to work in a fast-paced environment.

Schedule/Travel

Must be available Monday through Friday, 8am to 5pm, with opportunities to work remotely as appropriate. Occasional evening and weekend projects are associated with this position, and some local travel may be involved.

Compensation and Benefits: A very attractive compensation and benefits package comes with this position and is commensurate with experience.

ADVERTISEMENT OF POSTION: The ideal candidate for this role should have superior organizational skills and be able to optimize the program reporting and grant administration process. Must be able to work both independently, and as part of the PBMR Mission Advancement team. Successful candidates should have great leadership qualities and exceptional database management skills. The outstanding candidate will have some experience in collecting and synthesizing program data for evaluation. Candidates must also ensure that grant programs operate efficiently, streamline grant administration, and keep the organization fiscally sound as it relates to grants administration. The ideal candidate will have experience working with distressed communities, vulnerable populations, and BPOC communities.
