SUMMARY
Greets vendors, customers, job applicants and other visitors; may operate a switchboard to route incoming calls and place outgoing calls. Provides customer service and clerical support to assist Producers and service team.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Greets and directs vendors, customers, job applicants and other visitors;
• Answers, screens and routes incoming calls; operates fax machines, scanners, printers and copiers;
• Notifies employees when customers and visitors arrive;
• Assists job applicants who have arrived for interviews;
• Assists customers and visitors in operation of lobby phone for outgoing calls;
• Pages employees or other personnel when necessary;
• Receives incoming packages for disbursement within company;
• Sets up prospect and customer files;
• Assists service team with assembly of marketing materials, proposals, and presentations;
• Performs data entry in the agency management system;
• Orders and prepares loss runs and motor vehicle reports as directed;
• Processes insurance certificates;
• Complies with agency management system data standards and data integrity (enters and maintains complete and accurate information);
• Other duties as assigned.
QUALIFICATIONS
EDUCATION / EXPERIENCE
High School Diploma or equivalent combination of experience and education
Two (2) or more years related work experience
SKILLS
Good communication skills and telephone etiquette essential
Good customer service skills
Ability to work within a team and to foster teamwork
Good planning, organizational and prioritization skills
Proficient in Microsoft Office Suite
