The Executive Administrative Assistant in the Marketing Department plays a pivotal role in providing high-level administrative support to the marketing team's leadership and facilitating the efficient operation of the department
Duties/Responsibilities:
- Provide general administrative support to the marketing leadership, including data entry, filing, and document management.
- Manage calendars, schedule meetings, and coordinate appointments for marketing staff.
- Prepare and distribute internal communications, reports, and presentations as needed.
- Handle incoming communications, including emails and phone calls, and respond professionally and promptly.
- Draft and proofread correspondence, reports, and other documents.
- Assist in the planning and execution of marketing events, seminars,, and special projects.
- Coordinate logistics, such as booking venues and arranging travel.
- Maintain marketing databases and contact lists.
- Handle sensitive and confidential information with the utmost discretion and maintain strict confidentiality at all times.
- Support marketing team members with various administrative tasks and coordinate department wide activities.
- Collaborate with cross-functional teams and departments as needed to ensure smooth operations.
- Liaise with external vendors, suppliers, and customers to support marketing initiatives. Performs other related duties as assigned.
- Exceptional interpersonal, verbal, and written communication skills.
- Proficient typing skills required
- Strong organization and multitasking skills
- Proficiency in office software (e.g., Microsoft Office suite, including database programs).
- Attention to detail and high level of accuracy.
- Ability to work effectively in a team and take initiative when needed.
- Ability to maintain the highest level of professionalism and confidentiality.
- High school diploma or equivalent; associate or bachelor's degree in business or related field is a plus
- Proven experience as an administrative assistant, preferably in marketing deparment or related field.
- Familiarity with marketing tools, databases, and platforms is a plus.
- Prolonged periods sitting at a desk and working on a computer
- Ability to lift up to 32lbs unassisted.
