The Executive Administrative Assistant in the Marketing Department plays a pivotal role in providing high-level administrative support to the marketing team's leadership and facilitating the efficient operation of the department

Duties/Responsibilities:

  • Provide general administrative support to the marketing leadership, including data entry, filing, and document management.
  • Manage calendars, schedule meetings, and coordinate appointments for marketing staff.
  • Prepare and distribute internal communications, reports, and presentations as needed.
  • Handle incoming communications, including emails and phone calls, and respond professionally and promptly.
  • Draft and proofread correspondence, reports, and other documents.
  • Assist in the planning and execution of marketing events, seminars,, and special projects.
  • Coordinate logistics, such as booking venues and arranging travel.
  • Maintain marketing databases and contact lists.
  • Handle sensitive and confidential information with the utmost discretion and maintain strict confidentiality at all times.
  • Support marketing team members with various administrative tasks and coordinate department wide activities.
  • Collaborate with cross-functional teams and departments as needed to ensure smooth operations.
  • Liaise with external vendors, suppliers, and customers to support marketing initiatives. Performs other related duties as assigned.
  • Exceptional interpersonal, verbal, and written communication skills.
  • Proficient typing skills required
  • Strong organization and multitasking skills
  • Proficiency in office software (e.g., Microsoft Office suite, including database programs).
  • Attention to detail and high level of accuracy.
  • Ability to work effectively in a team and take initiative when needed.
  • Ability to maintain the highest level of professionalism and confidentiality.
  • High school diploma or equivalent; associate or bachelor's degree in business or related field is a plus
  • Proven experience as an administrative assistant, preferably in marketing deparment or related field.
  • Familiarity with marketing tools, databases, and platforms is a plus.
  • Prolonged periods sitting at a desk and working on a computer
  • Ability to lift up to 32lbs unassisted.
