Primary Duties And Responsibilities

  • provide administrative support for the Manager, Assistant manager, and maintenance staff.

Support the maintenance department and insure all needs are met. Open, sort and distribute in coming correspondence, including faxes and email. Read incoming memos, submissions, and reports to determine significance, and distribute appropriately. File and retrieve documents, records, and reports; maintain clear and consistent filing systems - electronic and paper. Prepare responses to routine correspondence.

Provide professional telephone and walk - in reception; greet visitors

Prepare invoices, reports, memos, letters, and other documents using word processing, spreadsheets and database software. Track uniform info. Track turnover of vacant apartments.

Facilitate contractor registration, preparing ID's and providing work orders.

Provides Support to maintenance techs regarding payroll, mileage sheets, time clock and cards; request for vacation and call out notices.

Schedule, track and follow up on call reports; prepare documents for file.

Coordinate with on-call provider.

Oder and maintain office supplies.

Assist with special events planning and related administrative activites.

Supports for turn season; work orders and turn log.

  • Track uniform inventory
  • Provides general administrative support to the Manager of Maintenance and Operations and the assistant Manager of Maintenance and Operations on a daily basis.
  • Preform other duties as assigned.

Requirements

High school diploma or equivalent.

Knowledge of computers and Microsoft Office programs.

One to three years related administrative experience
