Direct Supervision (responsible for performance management, hiring and discharge decisions)
Position Summary : The Contracts Manager is responsible for overseeing the entire lifecycle of contracts, from drafting and review to execution, renewal, and termination. This role ensures compliance with company policies and legal requirements while managing the contract administration process. The Contracts Manager plays a key role in facilitating communication between internal stakeholders, clients, and vendors, ensuring that contracts are executed efficiently and effectively.
Key Responsibilities :
- Draft and Review Contracts : Draft, review, negotiate, and redline Multi-Family and Single-Family construction contracts according to legal requirements, company policies, and industry best practices. Provide guidance on contract terms and conditions, ensuring compliance and minimizing legal risks.
- Manage Contract Lifecycle : Manage other regulatory requirements specific to each contract / agreement that the business enters into (including, but not limited to) : state registration & licensure, OCIP / CCIP enrollment, certified payroll, and project close-out documents.
- Maintain Records : Maintain the organization of files related to original contracts, change orders, amendments, and other supporting documentation so that they are accurate, up to date, and easily accessible.
- Ensure Compliance : Monitor contracts to ensure full compliance with terms, applicable laws, and regulatory requirements. Stay up to date with changes in contract law and regulations to ensure ongoing compliance.
- Facilitate Communication : Continually assess the business and work with internal and external teams to streamline and improve the contract department’s processes.
- Train, develop, and manage staff. Monitor performance to meet contract volume expectations.
- Conduct Audits : Regularly audit contracts and contract processes to ensure compliance, accuracy, and effectiveness. Identify discrepancies and take corrective action as necessary.
- Prepare Reports : Generate and analyze regular reports on contract status, performance, compliance, and risk management. Present findings to senior management and recommend strategies for improving contract processes and outcomes.
- Lead Contract Negotiations : Take a lead role in high-stakes contract negotiations, ensuring that the terms are aligned with company goals and minimizing risk exposure.
