We are seeking a Full Time Administrative Assistant to support a busy Financial Planning practice located in Parsippany, New Jersey. The ideal candidate will have at least 2 years of office administration experience, preferably in the financial services industry.
Primary Job Responsibilities
- Provide administrative support for one advisor including answering phones, scheduling appointments, and preparing materials for client meetings.
- Prepare and process client applications and ensure paperwork is in good order.
- Follow-up with sponsor's customer service representatives and clients to ensure all requests are completed to the client’s satisfaction.
- Prepare and distribute correspondence memos, letters, faxes. and forms. Scan documents, meeting notes, and reports into client files.
- Handle client service requests as they arise and respond in a timely manner.
- Assist with information and documentation requirements for new accounts, transfers, and more.
- Keep client management system up to date with client information.
Knowledge, Skills, and/or Abilities
- Effective oral and written communication skills, with a client service focus.
- Excellent time management skills with the ability to meet multiple deadlines, prioritize work, and keep up with an energetic, client-oriented environment.
- Extremely organized and detail oriented with strong follow-up skills.
- Ability to work independently with limited oversight on a daily basis.
- Proficiency in Microsoft Office Suite of Products (Excel, Word, Outlook).
Education and/or Experience
- College preferred.
- 2 years previous office experience; preferably in a financial advisory firm or financial support role.
