Allied is looking for a Coordinator, Technical Services to join our Technical Services team in Vancouver.

\n- Strengthening departmental communications and tools to improve processes and efficiency between the Technical Services team and both internal and external stakeholders.
- Maintain project data and systems information, ensuring all files are complete and accurate, have valid and executed documentation, and are properly recorded in SharePoint.
- Assist with the day-to-day coordination of vendor work to ensure user concerns are addressed in a timely manner and service levels are maintained.
- Maintain cost tracking sheets and update as projects are approved.
- Coordinate, plan, and monitor (with users and service providers) the Annual Fire Drills, Annual Fire Alarm and Sprinkler Inspections, Annual Infrared Inspections, and other required life and safety requirements.
- Coordinate, plan, and monitor the Asbestos Management Program removal at site level with building operations team and users if required.
- Organize and manage requests for uniforms, equipment, PPE, and other essential supplies.
- Assist in the management and coordination of users, stakeholders, and vendors including dealing with day-to-day questions and concerns including billing issues, accounts receivable, accounts payable, vendor purchase orders, among others.
- Ensure vendor records (e.g. worker’s compensation insurance) are up to date in Yardi.
- Support the UEPs in generating Service Contracts and Fee Schedules.
- Support and maintain the on-call escalation list with the Technical Services Supervisor or Manager.
- Other duties as assigned.
- Support the development of project plans and budgets
- Manage all project-related administration and documentation, ensuring accuracy and completeness · Issue all jobs, contracts, and purchase orders in Yardi for Technical Services & Construction, including budget or contract change orders
- Coordinate with relevant Technical Services team members to ensure project timelines and expectations are met; follow up as necessary
- Actively pursue documentation and information required prior to project start dates
- Work with the Technical Services team to ensure project information is complete and accurate
- Track and communicate key milestones and project updates
- Attend to the front desk to welcome office visitors
- Arrange, record, and accept courier packages
- Facilitate office supply orders
- At least 2 years of experience in a fast-paced customer service environment, front line dispatch services, or general administration experience.
- Strong computer skills with excellent knowledge of MS Excel and MS Word.
- Strong organization and multi-tasking skills with attention to detail.
- Ability to work under pressure in a fast-paced environment.
- Strong verbal and written communication and people skills, including a proven ability to build relationships.
- Ability to perform special projects while also performing the day-to-day duties as assigned.
- Previous Yardi experience is an asset.

Salary : $64,000 - $75,000
