Job Title : Clinical Assistant
Location : Hamilton, NJ (Mercer County)
Status : Full-Time; Exempt
Purpose:
The Clinical Assistant provides administrative support to the VP of Integrated Health Services and the Director of Behavioral Health Services to include arranging meetings and conferences, coordinating correspondences, and working on special projects. Deals with a diverse group of external callers and visitors, as well as internal contacts at all levels of the organization.
Responsibilities :
- Provides administrative support to the VP of Integrated Health Services and the Director of Behavioral Health Services.
- Schedules, organizes, and attends meetings, conferences, trainings, and departmental activities, and records meeting minutes as requested.
- Performs general administrative duties, including filing, scanning/photocopying, indexing, faxing, and Word processing.
- Assists group home managers with identifying specialty physicians and securing appointments.
- Manages clinical schedules to ensure visit patterns match Tier and acuity requirements.
- Responds to regularly occurring requests for information.
- Prepares and/or reviews information for internal and external communication – memos, emails, presentations, reports.
- Maintains clinical database for emergency preparedness
- Maintain a master list of current specialized training needs for individuals and ensure compliance of same.
- Collaborates and communicates with Managers and Clinical staff to schedule nursing and Behavior Specialists for monthly meetings, IDTs, preplacement meetings, discharge planning meetings and meet & greets for internal and external meetings.
- Maintains a master list of Addressing Enhanced Needs (AEN) forms, Behavior Support Strategies (BSS), Behavior Support Plans (BSPs), Individualized Support Plans (ISPs), 5-year psychiatric evaluations, and psycho-social sexual assessment dates.
- Manages external relationships, community resources, and data for clinical programming to improve clinical outcomes.
- Other duties and special projects as assigned.
Qualifications :
- Bachelor's Degree (or higher) in Social Work or related field
- 3-5 years' experience working with licensed professionals
- Valid driver's license with a good driving record
- Advanced proficiency in Microsoft Excel, plus proficiency in all other Microsoft 365 (Office) tools, such as Outlook, Teams, Word, PowerPoint, OneDrive, and SharePoint.
Required Knowledge & Skills :
- Strong interpersonal skills to handle sensitive, private, and confidential situations
- Excellent oral and written communication skills
- Independent judgment is required to plan, prioritize, and organize a diversified workload
- Ability and flexibility to deal with individuals from all levels of the organization in a professional manner
- Ability to solve problems
- Possess an understanding of basic medical terminology and applied behavior analysis (ABA).
- Experience in scheduling and overseeing visit patterns
Working Conditions :
- Full-time, exempt employee
- Works a 40-hour workweek; Work schedule is determined by Supervisor.
- Minimal hazards, general office working conditions.
- Occasional lifting up to 15 lbs.
