What are the responsibilities and job description for the Office Manager position at Alloy Process Engineering, Inc.?
The office manager oversees the administrative tasks and procedures, communicates directly with customers on order acknowledgements, is involved in various data entry functions and works cooperatively with sales, manufacturing and engineering departments aiming to insure smooth and accurate operations.
The Office Manager reports directly to the CEO, but interfaces with most Alloy office personnel.
RESPONSIBILITIES
- Receives and acknowledges customer purchase orders
- Enters jobs into Alloy ERP system (Job Boss)
- Disseminates order information to manufacturing, engineering, purchasing departments
- Is involved in generating required paperwork for Alloy shipping department including international shipment paperwork
- Prepares quotations and other correspondence with the Alloy sales team
- Generates reports used by department heads (booking report, production report, sales analysis, other reports as required)
- Maintains Alloy job boards such as really for the company
- Maintains and orders all office supplies for the company
- Provides support to Alloy field service teams
- Oversees office policies and procedures
- Interfaces with Sales, Production, Accounting, Engineering, Purchasing departments
Job Requirements
- Proficient in Microsoft Office suite
- Proficient in ERP system, Job Boss experience preferred.
- Excellent communication skills both oral and written
- Detail Orientation is a must
- Friendly and welcoming demeanor
- Excellent attendance and punctuality
- Strong problem-solving skills
- Ability to multitask and manage multiple priorities
- Ability to handle interruptions and quickly change priorities
- Must be proficient with computers, computer software, and typing
- Must be able to work well independently with minimal direction
- Organizational skills a must
- Prior administrative experience and bachelor's degree in business preferred, associate degree minimum

The company has ~30 full-time employees operating on one shift in a 47.000 square foot, company-owned facility.
