Work Schedule: Ally designates roles as (1) fully on-site, (2) hybrid, or (3) fully remote. Hybrid roles are generally expected to be in the office a certain number of days per week as indicated by your manager. Your hiring manager will discuss this role's specific work requirements with you during the hiring process. The Opportunity

This role is majority on-site with an average 3 days per week in office; may need to work outside of core business hours intermittently and travel occasionally.

The Executive Assistant provides administrative support to the Chief Marketing & Public Relations Officer (CMPRO). W orks under minimal supervision exercising strong initiative, confidentiality, and judgment. The ideal candidate can act with autonomy and has an entrepreneurial spirit allowing them to proactively manage tasks and priorities on behalf of the CMPRO.

The Work Itself

  • Provide a broad variety of administrative support to the exec including: managing an active and fluid calendar; organizing meetings; arranging and managing complex travel plans; and completing expense reports to optimize executive workflow.
  • Schedule and coordinate logistics for meetings, conferences, and special events (onsite & offsite).
  • Serve as the administrative liaison between the exec and various key internal and external stakeholders while acting with utmost confidentiality and discretion.
  • Serve as floor coordinator for Detroit-based staff, ordering supplies and working with the facilities management team as needed.
  • Prepare and proof correspondence, reports, and written material; prioritize work assigned to meet individual goals of the exec.
  • Prepare detailed presentation materials including PowerPoints, reports, etc. to meet deadlines while coordinating input from various departments.
  • Provide budget and expense support including: creation of payment requests, fulfilling invoices, and approving team expenses.
  • Provide on-site support for meetings, as needed, by organizing catering and meeting spaces, acting as the point of contact for attendees, creating agendas, and assisting with day-of setup, printing, and IT-related needs.
  • Plan and facilitate team engagement efforts including but not limited to: recurring staff, leadership, and full-team meetings; leadership and full-team offsites; volunteer events.
  • Lead and coordinate efforts with other EA’s across the Marketing and PR function to meet department needs.
  • Develop a rapport and sustain a level of professionalism among all staff.
  • Assist with special projects, reports, and activities.
  • Miscellaneous duties as assigned.

Skills

The Skills You Bring

  • 5 years previous administrative experience required.
  • Previous executive administrative experience preferred.
  • Previous administrative experience within a Financial Services institution preferred.

Special skills/abilities/competencies required:

  • Detail-oriented; able to work independently; takes initiative; strong interpersonal skills; able to multi-task; organizational skills; problem-solving skills; time management skills.
  • Proficient in PowerPoint, MS Word, Excel, and Outlook.
  • Exceptional communication and customer service skills.

Base Pay Range: $70000 - $85000 USD

An individual's position in the range is determined by the specific role, the scope and responsibilities of the role, work experience, education, certification(s), training, and additional qualifications. We review internal pay, the competitive market, and business environment prior to extending an offer.

Incentive Compensation: This position is eligible to participate in our annual incentive plan.

Salary : $70,000 - $85,000
