Alpha Mortgage is seeking a high-energy, well-organized, and tech-savvy professional to join our team as the Executive Assistant to the President/Owner at our 1320 Airlie Rd. location on the waterway.
Job Purpose
The Personal Executive Assistant is responsible for assisting the President of Alpha Mortgage, Loan Officers, service/operations teams, and clients. The ideal candidate is a strategic partner who anticipates the needs of the executive, possesses exceptional organizational skills, attention to detail, and discretion. They excel at managing schedules, coordinating meetings, and handling sensitive information with professionalism. They are proactive, resourceful, and adept at problem-solving, enabling the executive to focus on high-level tasks and decision-making. Additionally, they have excellent communication skills and the ability to build strong relationships with stakeholders, both internally and externally. They should possess a blend of technical skills and emotional intelligence to navigate various situations gracefully. They are essential for streamlining tasks and enhancing productivity for executive management.
Essential Duties and Responsibilities
- Work directly with the President to support all aspects of his daily work/home routine.
- Maintain the President’s calendar, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements. Exercise discretion in committing time and evaluating needs.
- Serve as a liaison between the President and staff. This includes receiving and screening the President’s emails and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls.
- Provide coordination, monitoring, and communication of projects and programs managed by current management staff.
- Assist in the development of presentations for internal and external audiences.
- Determine priority of matters of attention for the President; redirect matters to staff to handle, or handle matters personally, as appropriate.
- Keep the President advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Routinely perform a wide variety of support duties.
- Compose and prepare letters relating to routine correspondence for the President’s signature.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Maintain confidential and sensitive information.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Complete a variety of special projects.
- Other additional and/or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
Qualifications/Requirements
- High school diploma or equivalent
- Must be able to work on-site in the Wilmington office
- Proven experience supporting senior management and/or executives in an admin capacity
- Valid driver’s license

- Two years’ experience in the mortgage industry preferred
