Job Description:

The Clinic Operations Manager (COM) is responsible for the day-to-day operations of the clinic and will report directly to the CEO. The role requires self-initiation and ability to work with and manage teams, along with the ability to flourish in a fast-paced environment. The COM is a critical leader in the company that must maintain ethical standards, demonstrate professionalism, provide a safe environment both environmentally and culturally, and maintain the care of clients, employees, and the clinic to a Gold Standard level of quality and outcomes!

Requirements:

Required Qualifications:

  • Must be at least 18 years of age as required by the stateDo The Most attitude with a GSD work ethic
  • A minimum of 1 year in ABA or combination of service care providerAvailability to be a key holder and provide open & closing routines
  • Complete any assigned trainings and certifications as indicated by the CEO
  • Must have a valid state issued driver’s license and current auto insurance
  • Ability to think quickly and provide problem resolution in accordance with the company, the BACB, and Payor ethical standards and to maintain our mission and values
  • Maintain client and staff safety and dignity in all circumstances
  • Excellent oral and written communication skills
  • Experience with the clinic intake process, scheduling, and insurance processing
  • Ability to work and resolve issues independently and within teams
  • Experience with scheduling, billing, and data collection software
  • Detail oriented with strong organizational skills
  • Ability to work independently and across teams
  • CPR/1st Aid current Certification

Preferred Experience & Education:

  • A Bachelor’s degree or some college is preferred, but experience will be considered
  • Safety Care Trainer Certification
  • Registered Behavior Technician (RBT) or working towards the credential

Clinic Operations Manager (COM) Responsibilities:

  • Develop, maintain, and support metrics for accountability to staff to uphold Gold Standard service level expectations
  • Address escalated issues as they arise
  • Work closely with supervisors to achieve daily, weekly, monthly, and annual goals
  • Adjust to network changes and develop the standard resources for this team to support this movement
  • Assist and prepare annual performance evaluations for supervisors on time and ensure core competencies are 100% complete on the operations level
  • Provides management, support guidance, and control for the efficient utilization of operations center resources performing duties in the following departments Daily Schedule Management, Intake, Billing, Payroll, Human Resources and Hiring, Marketing, Recruitment, Vendor Management, Purchasing, and Clinic Maintenance
  • Provides Safety Care training, class scheduling and maintains accurate and timely records for staff meeting ALL requirements for each class held
  • Manages the development of operational briefings and support for the CEO and Clinical Director
  • Ensures compliance with all company and program policies, procedures, and other practices set forth by upper management directives
  • Provides timely, accurate reporting to both Operations and Clinical Leaders
  • Ensures the clinic is “Tour Ready” and staged at all times with ongoing staff training and expectation setting
  • Fill in for therapy if there is a short census day
