Job Overview:
We’re looking for a detail-oriented, highly organized, and proactive Office Manager to join our team at Alpine Landscape Service. As the first point of contact for clients and internal staff, you will play a key role in ensuring smooth daily operations and helping us deliver exceptional customer experiences. Your contributions will make a direct impact on our office efficiency, team cohesion, and client satisfaction.
Key Responsibilities:
- Office Administration: Oversee day-to-day office operations, ensuring everything runs efficiently. Manage office supplies, equipment, and vendor relationships.
- Client Interaction: Serve as the primary point of contact for clients. Handle phone calls, emails, and inquiries, ensuring a professional and courteous experience.
- Scheduling & Coordination: Manage scheduling for the team, ensuring projects and tasks are well-organized. Coordinate appointments, meetings, and field operations.
- Invoicing & Billing: Assist with invoicing, payment processing, and maintaining accurate records of transactions.
- Team Support: Provide administrative support to our field team and management, ensuring the smooth flow of information between the office and on-site workers.
- HR Support: Assist with basic HR tasks such as onboarding new employees, maintaining personnel records, and helping manage schedules.
- Customer Service: Address client concerns or issues, ensuring they are resolved in a timely and professional manner.
- Data Management & Reporting: Maintain accurate and up-to-date databases, prepare reports, and assist in the preparation of budgets and forecasts.
Skills & Qualifications:
- Experience: Minimum 2 years of experience in an office management or administrative role, preferably in a service-oriented industry.
- Organizational Skills: Excellent time management and organizational abilities. Ability to manage multiple tasks and priorities with attention to detail.
- Communication: Strong verbal and written communication skills, with a focus on professionalism and customer service.
- Tech-Savvy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with office software and tools.
- Proficient in QuickBooks online
- Problem-Solving: Resourceful, quick-thinking, and capable of handling various office challenges with a positive attitude.
- Team Player: Ability to work collaboratively with team members and foster a positive work environment.
