We are seeking an enthusiastic and detail-oriented Assistant Operations Manager to join our dynamic team and support the smooth functioning of our clinic operations.

Purpose

To work with clinical and patient coordinating staff to ensure optimal clinic operations. By performing the specified duties of this position, your role is to help the clinical team, providers, and practice operations to effectively support and manage patient care.

Responsibilities

  • Work alongside, train, and mentor clinical and patient coordinating staff, ensuring they meet performance standards and are well-equipped to deliver high-quality care.
  • Assist management and direct supervisor to conduct staff evaluations and provide ongoing education and professional development opportunities for medical assistants and other clinical team members.
  • Oversee onboarding for new clinical team members, ensuring they are familiar with clinic protocols, safety standards, and the EMR and other technology sources used within the organization.
  • Serve as one of the clinic’s EMR experts, making modification, providing guidance and troubleshooting for staff as needed.
  • Oversee the correct and timely documentation of patient records, ensuring that chart notes, prescriptions, prior authorizations, and all medical orders are completed in compliance with regulatory standards.
  • Conduct staff meetings for direct reports, facilitate clinical lead meetings, and assist in meetings involving patient care to provide updates and outline new policies or procedures using effective communication.
  • Develop, deploy, and enforce clinical department protocols affecting the work environment, compliance, patient care and provider workflow in collaboration with providers and executives.
  • Monitor clinical productivity and efficiency, ensuring that all protocols are being performed according to best practices.
  • Provide clinical support to providers by assisting with patient examinations, procedures, and other clinical tasks as required, ensuring the continuity of high-quality patient care and the smooth operation of clinic activities.
  • Assist in managing patient appointments and provider schedules to optimize clinic flow, maximize efficiency and patient volume, and minimize wait times.
  • Ensure the team maintains a high level of morale by recognizing individual and team achievements, celebrating successes, and encouraging continuous improvement.
  • Resolve conflicts and address interpersonal issues among staff in a constructive, fair, and timely manner.
  • Coach, council, and evaluate direct reports regarding performance and behavior in a timely, consistent and fair manner in collaboration with executives.
  • Prepare for performance reviews and implement disciplinary actions as needed.
  • Acts as a resource to staff for clinical, clerical, operational and executive departments to help answer questions, perform routine tasks, and present complex issues to management.
  • Oversee inventory control for both retail products and medical supplies, ensuring adequate stock levels and timely ordering.
  • Assist with the development and enforcement of policies/procedures affecting the work environment, compliance, patient care and provider workflow.
  • Manage clinical workflows and requests, and assists executives with disruptions & patient complaints.
  • Translate business and operational needs into actionable strategies for the clinical department, ensuring alignment with overall practice goals.
  • Assist with developing referral sources and oversees referring physician communication.
  • Lead by example, demonstrating professionalism, a strong work ethic, and a commitment to high standards of care.
  • Any other duties or responsibilities as assigned by medical director or executives.

Knowledge, Skills and Abilities

  • Previous leadership experience in a healthcare setting is preferred, particularly in dermatology or related fields.
  • Strong clinical knowledge and understanding of common dermatologic procedures and treatments.
  • Excellent organizational, problem-solving, and time management skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong ability to communicate clearly and effectively in writing and in conversation to establish and maintain effective working relationships with physicians, patients, colleagues, staff, and the public.
  • Commitment to promoting a positive and cohesive team environment.
  • Highly detail-oriented with the ability to perform effectively under pressure, demonstrating initiative and self-management while requiring minimal supervision. Committed to maintaining the highest standards of accuracy and quality in all aspects of patient care and clinical operations.
  • Ability to manage clinic, cosmetic, and office supply orders, and maintain accuracy of inventory system.
  • Capable of developing and deploying operations protocols in collaboration with providers and supervisor.
  • Ability to navigate and operate practice management systems, including patient communication tools, patient intake, insurance and billing information, medical records, audits and reports.
  • Proficient in EMR systems with the ability to operate and optimize clinical workflows, and implement efficiencies. Able to identify system errors and troubleshoot issues independently and escalate complex problems to the appropriate supervisor when necessary.
  • Knowledge of common safety hazards and precautions to maintain a safe work environment and HIPAA.
  • Ability to maintain a high level of professionalism.
